Midterm room bookings

To book extra Registrar's Office centrally-managed classroom space for midterm examinations, please use the Midterm room booking request form below (copy and paste into an email) and submit it to Faculty of Health scheduling at health-sch@uwaterloo.ca. One form per midterm is required.

Note: If you are holding an in-class midterm and do not require extra seats, do not submit a midterm room booking request.

If a TST component is not listed as an approved component for the course (in the Undergraduate Calendar), it will be temporarily added for a maximum of 1 term. If needed beyond the term in question, it must be added and approved by Senate Undergraduate Council. Contact Faculty of Health scheduling at health-sch@uwaterloo.ca for more information on how to proceed.

Double spacing

If double spacing is required, double the class enrolment. If the regular classroom is being used and you would like spillover space, indicate your regular classroom number as well as the number of extra seats you require. For example: Enrolment = 90 and using MC 2034 (96 seats). Formula would be: (90 x 2) - 96 (96 is the number of seats in MC 2034) = 84 additional seats needed from Scheduling Office.

Best practices for midterm room bookings

Your best chance of getting a large number of seats in the fewest number of rooms is to be prepared to seat students in tablet armchairs since our largest rooms have tablet armchair seating (please do so by answering "yes" to the tablet armchair question on the midterm booking request template above).

Midterm duration

Midterms must allow students the 10 minute transition period at the end of every midterm if it is being written during the regularly scheduled class times. Midterm room bookings are assigned with 10 minutes between bookings. This ensures that students are able to vacate the room and the next group can come in and be seated before their class begins. It also provides instructors and proctors with a 10 minute window for collecting midterm papers and the following instructors the opportunity to set up for their class. Note that this does not pertain to the Friday evening or Saturday midterm test slots that are scheduled with built-in transition time in between.

Friday evening midterm option

The Scheduling Office encourages the use of class time assigned on the Undergraduate Schedule of Classes for in-class midterms. However, if a time slot outside of the regularly scheduled class time is required, the Scheduling Office asks that you use the following Friday evening standard slots as much as possible since most of their classroom inventory is available for midterm use at these times:

  • 4:30 p.m. to 6:00 p.m.
  • 6:30 p.m. to 8:00 p.m.
  • 8:30 p.m. to 10:00 p.m.
  • Note: Requests to overlap these slots will only be accommodated with Associate Dean approval.

These are Senate-approved times. Friday evening time slots may conflict with BIOL, CHEM, and PHYS labs. This means that there is a possibility that a student will not be available during one of the above mentioned times.
