Job Description

Conrad Grebel University College is a liberal arts college founded by the Mennonite church and affiliated with the University of Waterloo. The mission and programs of Grebel are rooted in and inspired by its Christian identity and its Anabaptist/Mennonite heritage. Grebel offers undergraduate, graduate, and community education programs in peace and conflict studies, music, theological and religious studies, and Mennonite studies. It also has a residence which houses approximately 175 university students. Grebel is also home to the Kindred Credit Union Centre for Peace Advancement (CPA).

General Scope

The Communications Assistant will design and create visual content that clearly and effectively communicates the mission, identity, values, and programs of Conrad Grebel University College to its various constituencies – prospective and current students, parents, alumni, UW, MCEC, donors, friends, and the general public.  The Communications Assistant will work under the direction of the Marketing and Communications Manager.

Departmental Data 

Across various platforms, the Conrad Grebel University College Communications Department promotes the College externally to a wide audience. The department produces hundreds of graphic design projects, promotes and supports more than 75 events a year, runs ad campaigns, and manages Grebel’s 4 main social media accounts. The annual workload includes around 80 photoshoots and 70 videoing sessions. In addition, the department produces 4 major publications (2 issues of Grebel Now magazine, Annual Report, Viewbook) and 25 press releases. The department manages the College’s website, which has more than 2000 webpages. All 14 of Grebel’s program areas are supported by the Communications Department.

Specific Responsibilities and Tasks:

Promotional Materials/Graphic Design

In many cases templates and graphic projects require updates from previous events. The Communications Assistant will:

  1. Produce original, creative, and appropriate design solutions - ensuring quality, excellence and consistency in all communication materials
  2. Design, layout, and coordinate printing of Grebel marketing communication materials including: academic and program material for PACS, Music, and Theological Studies, viewbook and other recruitment materials, fundraising material, brochures, posters, displays, banners, and PowerPoint presentations
  3. Participate in all aspects of production for print and electronic publications, including design using Creative Suite 6, proofing, and printing.
  4. Contribute expertise in typography, layout, and formatting to achieve consistent high quality print and web material that reflects the “Grebel Look & Feel.” Ensure that Grebel’s visual identity, messaging, and style guidelines are consistent in all institutional marketing and communication materials.

Public Relations

Event promotion and other public relations activities are done in coordination with appropriate departments and staff. The Communications Assistant will:

  1. Assist in the promotion of College events (open houses, lectures, alumni reunions, etc.) through posters, mailings, emails, signs, infoscreens, and programs
  2. Design advertisements for relevant publications such as yearbooks, magazines, and newspapers
  3. Ensure all event information is posted on local online events calendars
  4. Maintain the database of churches and schools

Website

  1. Create high quality web graphics – buttons, banners, photos, images, ads
  2. Post and update website material as necessary - including promotional material (text, photos, event publicity, news) and information related to the residence, academic programs, administration, development and alumni

Photography

  1. Set up and take photos for promotional purposes
  2. Take pictures of college events
  3. Photo editing as needed (using Photoshop)
  4. Help maintain the photo file archive, handling requests for photos

Other

  1. Other communication and public relations projects coordinated with the Marketing and Communications Manager
  2. Communicate effectively with staff and faculty to manage and realize projects within deadlines
  3. Contribute to a hospitable environment for students and a collegial climate for all members of the College community.
  4. Perform other duties from time to time as assigned by the Director of Operations

Position Requirements

  1. Support for the identity and mission of Conrad Grebel University College.
  2. Familiarity with University of Waterloo policies and procedures

Education

  1. Bachelor degree and/or a college diploma in related field

Skills/Experience

  1. Excellent organizational skills.
  2. Creativity, good judgement, insight and a sharp eye for detail and design.
  3.  Excellent interpersonal and public relations skills, including the ability to work productively and collegially with the College’s faculty, staff, and students and with other University departments.
  4. Ability to take direction as well as show initiative.

Technical

  1. Training and experience with page layout, graphic design and related software programs (eg Adobe Suite CS- InDesign, Premiere, Photoshop, and Acrobat).
  2. Familiarity with print and advertising production.
  3. Photography experience - familiarity with related software programs and digital photography equipment.     
  4. Familiarity and expertise in website content management systems
  5. Familiarity with Microsoft Access, Excel, Word, and PowerPoint.

Working Relationships

The incumbent will work closely with the Director of Advancement and the departmental co-op students.

Accountability and Reporting

This role is accountable to the Marketing and Communications Manager. The Director of Operations of the College is responsible to deal with matters related to contract, benefits, work space and equipment.

Salary and Benefits:

This role is defined as .91 fte (32 hours per week).
