Office Assistant and Receptionist – Nine-Month Contract

Conrad Grebel University College is a liberal arts college founded by the Mennonite church and affiliated with the University of Waterloo. The mission and programs of Grebel are rooted in and inspired by its Christian identity and its Anabaptist/Mennonite heritage. Grebel offers undergraduate, graduate, and community education programs in peace and conflict studies, music, theological and religious studies, and Mennonite studies. It also has a residence which houses approximately 175 university students. Grebel is also home to the Kindred Credit Union Centre for Peace Advancement (CPA).

I. General Role:

The Office Assistant & Receptionist ensures the office runs smoothly and efficiently while providing a warm and welcoming atmosphere to students and visitors. They are to direct in person, phone, and email inquiries in an efficient and professional manner. The Office Assistant and Receptionist has a close working relationship with the Assistant to the Director of Operations and assists faculty and staff in a wide variety of tasks as required.

II. Specific Duties

  1. Ensure reception provides a hospitable environment for students and guests and provides good service to all members of the Grebel community
  2. Operate switchboard
  3. Ensure the working environment of the general office, mailroom, print room and coffee bar remains tidy and well organized (counters, storage cupboards etc.)
  4. Receive and process all incoming and outgoing mail
  5. Process daily cash and credit card sales, and complete a weekly deposit
  6. Maintain a log of all college keys
  7. Issue parking permits and maintain parking records
  8. Provide project support to other staff and faculty as required
  9. Perform other duties from time to time as assigned by the Director of Operations
  10. Contribute to a hospitable and collegial climate for all members of the College community

III.    Qualifications and Expectations for this Position:

  1. Support for the identity and mission of Conrad Grebel University College.
  2. Familiarity with University of Waterloo policies and procedures
  3. Excellent interpersonal and communication skills and a sensitivity to the needs of students, staff, faculty and the general public
  4. Training and experience in an office setting and administrative assistant role
  5. Experience with Word Processing and Excel
  6. Solid organizational skills
  7. Excellent attention to detail and commitment to accuracy
  8. An ability to work independently and in an unsupervised environment where appropriate
  9. Excellent phone manners
  10. Have an understanding of and an appreciation for the Anabaptist/Mennonite tradition within which Conrad Grebel University College stands

IV.    Hours and Salary:

This is a full time position of 35 hours per week. Typical hours of work are Monday to Friday, 8:00am to 4:00pm. Salary is commensurate with background, training and experience and related to salaries for similar positions at the University of Waterloo.
