Contract: Sept 3, 2019 – June 30, 2020, 250 hours total

Benefit: 4% vacation pay

Some evening/weekend work required

Occasional travel to US required

Conrad Grebel University College is a liberal arts college founded by the Mennonite church and affiliated with the University of Waterloo. The mission and programs of Grebel are rooted in and inspired by its Christian identity and its Anabaptist/Mennonite heritage. Grebel offers undergraduate, graduate, and community education programs in peace and conflict studies, music, theological and religious studies, and Mennonite studies. It also has a residence which houses 174 university students. Grebel is also home to the Kindred Credit Union Centre for Peace Advancement (CPA).

General Scope

The Toronto Mennonite Theological Centre (TMTC) Administrative Assistant is responsible for coordinating the administrative details that sustain the TMTC program. This position requires a good understanding of the practices and procedures of the Toronto School of Theology (TST) and Conrad Grebel University College (Grebel), the institution entrusted with the management of TMTC. The Administrative Assistant contributes to the creation of a hospitable environment for students and a collegial climate for teaching staff and students participating in the TMTC program.

Departmental Data

The TMTC Administrative Assistant assists with arrangements for monthly scholar’s forums, as well as a course, welcome dinner, public lecture and a biennial graduate student conference.

Specific Responsibilities

1. Administrative Support

  1. meet regularly with the Director of TMTC for appointment and task scheduling and general consultation
  2. file documents and perform general office duties
  3. record and track student statistics
  4. arrange room assignments for seminars and special events
  5. schedule and attend meetings and record all committee minutes relating to the TMTC program
  6. edit and publish periodic newsletters and social media posts
  7. coordinate with Grebel on various communications initiatives including displays, brochures, news releases, website updates, etc.
  8. organize and publicize special events such as lectures, conferences and other social gatherings
  9. work with the Grebel accounting department to process invoices and exchange other financial information
  10. lock up the building following special events which may include kitchen or coffee service cleanup
  11. carry out special assignments and/or take on responsibilities outlined by the Director of TMTC

2. Students

  1. prepare and maintain records for the current and prospective students in the TMTC program
  2. communicate with students regarding routine inquiries, course offerings, registration, TMTC functions and other lectures or events of interest
  3. Contribute to a hospitable and collegial climate for all members of the TMTC and Grebel community

Position Requirements

  1. Support for the identity and mission of Toronto Mennonite Theological Centre and Conrad Grebel University College.
  2. Familiarity with the Toronto School of Theology is preferred.
  3. Bachelor’s degree or its equivalent, preferably in Theological Studies.
  4. Experience in administrative support positions
  5. Initiative and the ability to work without supervision
  6. Excellent interpersonal and public relations skills, including the ability to work productively and collegially with the teaching faculty, and students
  7. Full reliability in matters requiring discretion and confidentiality
  8. Excellent organizational skills
  9. Attention to detail and commitment to accuracy
  10. Excellent skill in written and oral communication
  11. Computer experience and competence in Microsoft Office
  12. Familiarity with social media (Facebook, Twitter)

Working Relationships

The incumbent will work closely with and report to the Director of the Toronto Mennonite Theological Centre. The Director of Operations and the HR Manager of Conrad Grebel University College are responsible for matters related to contract, benefits, work space, and equipment.
