Info sessions are advertised on the Waterloo events page accessed through the University of Waterloo’s homepage. The information provided in the event listing is identical to the information promoted on the Employer Information Sessions Calendar in WaterlooWorks. This promotional activity takes place the Monday the week prior to your session date.

Digital screens across campus
Info sessions are also advertised on various digital signage screens across campus, and are promoted approximately 1-1.5 weeks prior to your session date. The following are the locations on campus where your info session is promoted on the digital screens:

Info sessions are advertised through email blasts (e-blasts) to campus newsgroups. Recipients are students who’ve signed up to be on a mailing list through their faculty, program, or club; student societies; and staff within various departments and faculties at Waterloo. These staff members communicate the info sessions, targeted by program discipline, to the appropriate students. This promotional activity takes place the Monday the week prior to your session date.

If you have an upcoming information session, the EIS team will link it to any job descriptions posted on WaterlooWorks that you have that are open for applications prior to the event. The details of your session will appear on the open job description and the event will link any open job descriptions associated with your event. The linking of open jobs is done twice termly, on final job posting deadline one and two. Any events that take place outside of this window, will not have these jobs linked.

Info sessions are promoted in the Daily Bulletin – a campus-wide e-newsletter published on a daily basis. Info sessions are promoted weekly, every Wednesday for the upcoming week, and are promoted in the "when and where" section. A link to the info session calendar is also provided for additional details.

Data collected from our student body displays that the majority of students gather their information from social media rather than from printed posters. Our team has made great strides in an effort to reduce paper waste on campus and as a result, we will no longer be offering printing and posting of physical posters. If you and your team choose to create a poster for your information session, we will share it digitally through our social media platforms and on your event details on WaterlooWorks.

Student newspapers allow you to reach the entire student body or a select group. Since advertising space constantly fluctuates and differs between papers, CEE advises that you contact the papers directly to ensure that your needs are met. All papers can be reached using, the university phone number of 519-888-4567 followed by their individual extensions:

If you plan on shipping us promotional materials or swag (print materials, apparel, water bottles, pens, etc.) for your info session, they must arrive at least two weeks prior to your session date to ensure we receive them on time and can arrange for them to be brought to your session.
You will receive an email from CEE once your materials have arrived.
Co-operative and Experiential Education (CEE) is not responsible for lost, damaged or missing items.
How shipping at UWaterloo works:
Why do we need materials to arrive two weeks in advanced? Materials shipped to our campus are sent to a central location, and then are distributed to the respective departments and faculties on campus, including Co-operative and Experiential Education, where our team then reviews each package and confirms the required paperwork for any return shipping. We then request these materials be sent to your session.
We can’t guarantee materials will be at your session for anything that does not arrive more than two weeks in advanced of your session date.

Please note that the employer is responsible for all charges incurred when shipping promotional material, including customs clearing and return shipping costs. The employer must arrange all shipping to and from the University.
When shipping promotional materials to the University of Waterloo from outside of Canada, you, as the exporter, are responsible for clearing custom charges as the broker. You need to arrange for your courier to clear these charges on your behalf, and not the University of Waterloo. UWaterloo, as the importer, is not responsible for clearing custom charges.
If you require return shipping for any of your materials, it's your responsibility as the employer to arrange return shipping of promotional materials from the University, prior to your employer information session (EIS) taking place. This might include material such as banners, projectors, or promotional items that are difficult to travel back with. If you plan on arranging return shipping for materials from your information session, we’ll need from you and your chosen courier service:
Please ensure that the tracking number on the label matches the tracking number on the invoice.
Return shipping must be pre-arranged by you as the employer prior to your information session, and the required paperwork and documentation must be submitted to CEE with your shipment at least two weeks prior to your info session date.

Please do not send CEE your return shipping documentation if you’re missing any of the required items. We will not be able to ship your materials back to you, and extra documentation will be required to make this happen.
You will receive an email from CEE prior to your session to confirm that your documentation is correct and has been processed for return shipping following your session.
