All about Office 365 ProPlus (desktop)

What is Office 365 ProPlus?

proplus logoProPlus is the newest desktop version of Microsoft Office available for Windows and Mac OS. Users must have an active Office 365 account with an A3 license. 

Pro Plus is different from Office 365 apps in the cloud; it is the newest locally installed version of Office, that receives ongoing updates.

New features:

  • Easy to use, modern User Interface
  • Ongoing updates (monthly channel for Academic Support Departments)
  • Autosave in top left (Word, Excel, PowerPoint) for files saved in Office 365 OneDrive

How can I get Office 365 ProPlus? 

  • Academic Support Departments (Windows)
    • Will be deployed through SCCM over the next 1-3 months
  • Academic Support Departments (Mac)
    • Consult your IST Account Rep
  • Other parts of campus
    • Check with your IT support staff
  • Home/personal computers
    • Anyone with an Office 365 A3 license (all faculty staff and students)
  • Laptops should be connected to the wired network during installation

What else do I need to know about ProPlus? 

  • ProPlus replaces current version of Office (2016) on Windows desktops (all Office products/plug-ins will be removed)
  • Default is 64-bit (32-bit available for home/personal computers)
  • User based license – requires authentication 
    • Nexus computers - authentication will happen automatically
    • Other computers – authentication required every 30 days
 


About the Office 365 ProPlus IST Configuration (for Academic Support Departments)

  • Monthly channel (recommended by Microsoft)
    • Users get most up to date version including security patches etc.
    • Managed through SCCM 
    • Vanguard groups to get 7 days before the rest of users
    • Same update process and schedule as Windows updates
    • Rollback option available if issues arise
  • Archive button in email message window has been disabled to prevent ‘losing’ mail
  • Skype for Business is configured to auto-open

  • Uses a shared token

    • Ensures it does not use any of our 5 Office desktop activations

    • (not an option for Macs)

Preparing for Deployment/Installing

  • Most machines will run Office 365 ProPlus seamlessly
  • A small number of machines may need to keep Office 2016/2019 for now – examples:
    • Computers that require non-standard software that does not work with 64-bit Office 365 ProPlus
    • Computers used by people without an active Office 365 accounts with an A3 license 
    • (Note: co-op students have Office 365 accounts with A3 licenses)
  • Identify 32 bit Office plug-ins, and note to update them to 64-bit after Office 365 ProPlus is deployed
  • Identify any machines that are running Visio, Project, SharePoint Designer or InfoPath
    • The 64-bit version of these applications will need to be installed from the Software Centre after Office 365 ProPlus is deployed
  • Review MS Access databases to see if any preparation is needed (consult your IT support staff for assistance)

After Deployment

  • Re-create Office shortcuts
  • Update any 32-bit Office plug-ins to 64-bit
  • If needed, install 64-bit versions of Visio, Project, InfoPath, SharePoint Designer, from the Software Centre
  • Open Skype for Business 
  • Note: If you login to a workstation with a Generic or !(bang) account, and authenticate to Office 365 ProPlus: 
    • Logout of Office 365 ProPlus to ensure others using the Generic account do not have access to your Office 365/OneDrive files.

Installation notes – if installed via SCCM

  • Potential install failures (due to varying configurations/old versions of Office)
    • If running overnight, it will re-try and successfully install
    • If running during day, and want to force the re-try
      • Open the Software Centre
      • Click on ‘Licensed – Microsoft Office 365 ProPlus’
      • Click the ‘Retry’ (or ‘Install’) button
  • If, after the install, Office is having issues (rare)
    • Open the Software Centre
    • Click on the Office 365 ProPlus icon and click to open.
    • Click on the ‘Repair' button.
    • (don’t repair/install through other channels)

Office 365 accounts and activations - Academic Support

  • If an employee has just started and they don’t have their Office 365 (A3) account yet
    • You can email rt@uwaterloo.ca to ask that Office 2019 be installed temporarily; CC your IST Account Rep on the email. Please provide: Windows machine name
  • The earlier the paper work is submitted and the employee is in Workday, the better.

Office 2016/2019

  • It is recommended to upgrade to Office 365 ProPlus, where possible to take advantage of its features/security
  • Microsoft will continue to support Office 2016/2019 until 2025
  • There are collaboration limitations when parties are using different versions of Office

Deployment status at UW

ProPlus has already been deployed to all of IST and vanguard computers in Academic Support.

Tentative deployment dates for all Academic Support managed computers:

  • Advertised: Jan 14, ~4:30pm
  • Deadline: Feb 5th, 11pm
