git.uwaterloo.ca upgrade – Phase 1, August 20-22

What is happening?  The University’s version control system, git.uwaterloo.ca, will undergo a two-phase upgrade, beginning with an update from version 8.1.5 to version 10.8.7. Phase 2 will follow in the coming months and will include both an update to GitLab 12 and a significant change to the API.
 
When is this happening? From Tuesday August 20, 5:00 p.m. to Thursday August 22, 8:00 a.m. git.uwaterloo.ca will be unavailable during the upgrade window.
 
What is the impact?A new API (version 4) will be made available to users. The existing API (version 3) is no longer supported by the vendor and will only continue to work for approximately 1-2 months under Git version 10.8.7. No change to repositories, issues, comments or logins is anticipated.
 
What do users need to do?  Users of the API need to update their code to support the newer API, in the next 1-2 months.  API (version 3) will stop working when git.uwaterloo.ca is upgraded to GitLab 12; the upgrade date will be communicated in early fall 2019.

Increase in financial spear phishing attempts on campus – August 7

What is happening? Over the August long weekend, there was a significant increase in the number of financial spear phishing attempts directed at University employees.   
 
What is Finphishing? A form of phishing done for financial gain, finphishing attempts to have the victim transfer cash or easily converted gift cards to the attacker.
 
What should you do if you receive such an email? 
 
  • Verify unusual requests from your manager. If you've never bought gift cards - or anything else - for that person, consider why you are being asked to do so now. Ask who the merchandise is being bought for.
  • Verify the email address. Email clients may display only the text name, not the address, so employees need to look closely. 
  • Compare the text to other messages for your manager. If spelling, punctuation, or choice of words differs, it is likely an attack.
  • When in doubt, verify using a different contact method. Don't ask in the email thread for a phone number. Look it up yourself and call or message the purported manager.
  • Be suspicious when you are told you will be reimbursed. If the financial arrangements and payments are not in keeping with normal practice, don't go along with them.

Changes to employee user grouping in WatIAM - August 15

Update (August 12, 3:10 p.m.): 
 

What is happening? The grouping of faculty, staff, temporary employees, and casual employees in WatIAM and Nexus is changing due to associated Workday group changes.
  • Employees in affiliated colleges and institutions will now be assigned to the appropriate Workday group and have their primary affiliation and related access set up properly.
     
  • Staff with an end date (e.g. co-op, contract):
    • Will be moved from the Nexus group IdM-HR-Staff to IdM-HR-Temporary. 
    • Remain in the IdM-HR-employee Nexus group.
       
  • Temporary faculty positions (e.g. instructors, sessional, RAs):
    • Will be moved from the Nexus group IdM-HR-Temporary to IdM-HR-Faculty.
    • Remain in the IdM-HR-employee Nexus group.
Notes:
  • This change will not affect any employment records in Human Resources.
  • No users will be removed from the IdM-HR-employee Nexus group (The IdM-HR-employee Nexus groups consists of: IdM-HR-Staff, IdM-HR-Faculty, IdM-HR-Temporary, and IdM-HR-Casual.

Why is this happening?
  • To ensure the ~1800 individuals in affiliated colleges and institutions are assigned to a Workday group, have their primary affiliation set, and receive related access based on group membership.
  • To allow us to identify regular on-going staff vs. temporary staff in order to assign appropriate access.
  • To allow us to identify definite term faculty as faculty vs. temporary staff in order to assign appropriate access.
  • To ensure individuals are in the categories that best describe their employment with the University.
When is this happening? Thursday, August 15 at 10:00 a.m.
 
What is the impact? This change will re-categorize some users in WatIAM and Nexus into a different employee type which could impact some Grouper groups.
 
What do users need to do?
  • Application owners who use these Nexus groups (IdM-HR-Staff, IdM-HR-Faculty, IdM-HR-Temporary) for access to their applications should review how access is configured based on the changes noted above.
    • No action is required for application owners who use the IdM-HR-employee Nexus group for access.
  • Individuals concerned about their access to resources and data may contact their IT support group to investigate.
