Duo two-factor authentication maintenance - June 4

Update (June 4, 11:00 a.m.): The Duo maintenance window has been extended to 1:00 p.m.


What is happening? The Duo two-factor authentication service will be moved behind a load balancer.

When is this happening? Thursday, June 4 from 9:00 - 11:00 a.m.

What is the impact? During this maintenance window, users will be unable to enrol in 2FA and/or access the device management portal. Individuals already enrolled in the Duo 2FA service will be able to continue using it as normal.

New features available in Microsoft Teams

What is happening? Microsoft Teams has added new features to improve app functionality and enhance user experience: 

  • 3x3 video gallery - allows up to 9 users to display video simultaneously during meetings
  • 'Raise hand' function - allows users to indicate when they want to speak without interrupting the meeting conversation
  • Pop-out windows for chats and meetings - allows users to open separate windows for chats and meetings

Increase in COVID-19 related phishing attempts

What is happening? There has been an increased volume of COVID-19 related phishing emails being sent to members of the University. These phishing attacks are expected to continue in the foreseeable future. Please be vigilant and read emails carefully before responding. If you have received emails with subject lines similar to the following, do not click any links and do not reply:

  • New update on COVID-19
  • MUST READ: New update on COVID-19
  • New development on COVID-19
  • New development on Covid-19 must read!

What should I do if I have received this email? Suspected fraud attempts should be reported to the Security Operations Centre at soc@uwaterloo.ca. Reports of successful fraud should be directed to UW Police Services at uwpolice@uwaterloo.ca.

Where can I get legitimate COVID-19 updates? The Government of Canada has an opt-in email list for individuals who want to receive trusted information about COVID-19: https://www.canada.ca/en/managed-web-service/get-updates-covid-19.html

Improved access to online learning technologies for students studying in China

What is happening? The University of Waterloo has worked with Chinese network provider, Alibaba, to leverage their cloud services to improve access to online learning resources for students studying in China as a result of the COVID-19 pandemic. 

How does the cloud solution work? Slow and sometimes unpredictable Internet access in China can limit student access to online learning technologies and materials. Alibaba works within Chinese regulations to enable their cloud solutions to improve the experience of students using our pre-approved websites, such as LEARN and Crowdmark. Students will be advised to use this solution only for accessing Waterloo course learning technologies; it will not allow access to other websites.

How does this change impact instructors? Additional information for instructors will be available on the Keep Learning website.

How will students in China access the solution? Log in instructions are available in the IST Knowledge base and will be shared directly with students.

Students in other countries, as well as in rural areas of Canada, may also have limitations on their access. General troubleshooting advice and steps for escalating network/connection issues will be available to all students on the Student IT Services website.

Microsoft Stream now available

What is happening? Microsoft Stream, an Office 365 video sharing service, has been enabled. All University faculty and staff can create and view video content in Stream. Students can view video content in Stream.
 
When should I use Microsoft Stream? Microsoft Stream is recommended for sharing recorded video content of meetings, presentations, and training sessions. WebEx remains the recommended tool for teaching at this time: (https://uwaterloo.ca/keep-learning/webex). Also see Tool comparison for remote meetings and conference calls.

How do I request access to Microsoft Stream?

  • All faculty and staff (including graduate students working as Teaching Assistants) can create and view content in Microsoft Stream by going to: https://portal.office.com and choosing ‘All Apps’ and then ‘Stream’.
  • All undergraduate and graduate students can view content in Microsoft Stream by going to: https://portal.office.com and choosing ‘All Apps’ and then ‘Stream’.
