Deployment of Office 365 ProPlus (Windows desktop applications)

Update (Jan 15):

What is happening? Users installing Office 365 Pro Plus during the day may experience installation failure on first attempt.  

What do users need to do if installation fails? If the installation fails on its first attempt:

  • It will automatically retry and run successfully, but you may prefer to force a retry to speed up the process:
    • To force a retry, open the Software Centre > click on “Licensed – Microsoft Office 365 ProPlus” > select Retry.

Installation notes: 

  • It is recommended to run the installation at the end of the day as the process takes time.
  • After Office 365 Pro Plus is installed, Office taskbar shortcuts (e.g. Word, Excel, Outlook, etc) will need to be re-created:
    • Remove old shortcuts: Click on shortcut(s) (if present) > right-click the icon > left-click on ‘Unpin from taskbar’.
    • Add new shortcuts: Open the app(s) you would like taskbar shortcuts to (including Word, Excel, Outlook, Skype for Business, etc.) > right-click on the app icon in taskbar > select 'Pin to taskbar'.

What is happening? IST is deploying Office 365 ProPlus (desktop) to Academic Support Windows computers. 


When is this happening? 

What is the impact and benefit of upgrading to Office 365 ProPlus (desktop)? 

  • All Office products currently installed will be removed.
  • Office 365 ProPlus, 64-bit will be installed.
  • Minor changes to the user interface and features happen monthly on the same schedule as other updates.
  • New Autosave functionality (top-left of title bar in application window) for files saved on Office 365 (O365) OneDrive (in the cloud; applies to Word, Excel, PowerPoint only).
  • If you login to a workstation with a Generic or !(bang) account, Office 365 ProPlus will request O365 authentication to activate Office 365 ProPlus (desktop).
    • You may need to logout from O365 when leaving the workstation or the generic account will have access to your O365/OneDrive files.
  • If a new employee does not have an Office 365 (A3) account yet, email rt@uwaterloo.ca and copy your IST Account Rep to request Office 2019 to be installed temporarily. 


What do I need to know before installing? 

  • Office 365 Pro Plus will take ~15-20 minutes to install.
  • Identify 32-bit Office plug-ins as they will need to be updated to 64-bit after Office 365 ProPlus is installed.
  • Identify any machines that are running Visio, Project, SharePoint Designer or InfoPath (they will need to be re-installed from the Software Centre after Office 365 ProPlus is installed).
  • If you use Microsoft Access and have concerns, it is recommended the database be copied and tested on a machine running Office 365 ProPlus. Contact Stephen Markan (smarkan@uwaterloo.ca) and your IST Account Rep before the deployment date with your questions/concerns.

How do I install Office 365 Pro Plus? If you are installing ProPlus before the February 5 deadline: 

  • From the Software Centre, open ‘Licensed – Microsoft Office 365 ProPlus’ and choose 'Install'.
  • If the installation fails on its first attempt:
    • It will automatically retry and run successfully (but the retry may be delayed and could interrupt your work).
    • To force a retry, open the Software Centre > click on “Licensed – Microsoft Office 365 ProPlus” > select Retry.<--break->

What do I need to do after installing Office 365 ProPlus? 

  • Office plug-ins that integrate with Office will need to be updated to 64-bit.
    • If needed, install the 64-bit versions of the following software from the Software Centre: Visio, Project, Infopath, SharePoint Designer.
  • Office taskbar shortcuts will need to be removed and recreated (e.g. Word, Excel, Outlook, etc.). 
    • Click on shortcut(s) (if present) > right-click the icon > left-click on ‘Unpin from taskbar’.
    • Open Windows app(s) you would like to pin to the taskbar, including Skype for Business > right-click on icon in taskbar > select 'Pin to taskbar'.
  • Skype for Business may need to be opened manually the first time.
  • If the installation failed:
    • Windows apps will not be available.
    • Open the Software Centre > click on “Licensed – Microsoft Office 365 ProPlus” > select Retry.


Reasons for exemptions

  • Computers that require non-standard software that won’t work with 64-bit Office 365 ProPlus.
  • Computers with users that do not have active Office 365 accounts with an A3 license (e.g. some part time staff, generic accounts).
  • Note: co-op students have Office 365 accounts with access to Office 365 ProPlus.
  • You require identified 32-bit Office plug-ins that cannot be updated to 64-bit after Office 365 ProPlus is installed.
  • You use Microsoft Access and your database cannot be updated
  • Please verify that you tested a backup copy of your database in Access Office 365 ProPlus (on another machine running Office 365 ProPlus). Contact Stephen Markan (smarkan@uwaterloo.ca) and your IST Account Rep before the deployment date with your questions/concerns.
  • Note: Your IST Account Rep can assist with identifying reasons for exemptions

 
To request a machine be exempt and temporarily keep Office 2016:

  • Communicate with your IST Academic Support Representative to review the system you want exempted and note your concerns.
  • Submit a request to rt-IST-CSAdminSupport@rt.uwaterloo.ca and CC your IST Account Rep.
    • Request to add the machine to the Office 365 ProPlus Exemptions group.
    • Include machine name and reason for exemption (Note your IST Account Rep will need to approve this request).
