Coordinator Roles

Events Coordinator (3 positions)

  • Responsible for organizing and executing events for the term.
  • Submits event forms for every event held by the Science Society.
  • Attends Science Society events.
  • Own a credit card, and is comfortable paying for event as needed and being reimbursed throughout the term.
  • Holds Science Society office hours.

Sciball Coordinator (3 positions) - Fall Term Only

  • Chooses the theme for SciBall 2017 held in November.
  • Arranges entertainment, catering and sponsors for the event.
  • Secures and manages a SciBall volunteer committee.
  • Executes the event on the day of.
  • Own a credit card, and is comfortable paying for event as needed and being reimbursed throughout the term.
  • Holds Science Society office hours.

Gradball Coordinator (3 positions) - Fall AND Winter Term 

  • Chooses the theme for GradBall 2018 held in the Winter term.
  • Books the venue of the event.
  • Arranges entertainment, catering and sponsors for the event.
  • Secures and manages a GradBall volunteer committee.
  • Executes the event on the day of.
  • Own a credit card, and is comfortable paying for event as needed and being reimbursed throughout the term.
  • Holds Science Society office hours.

Creative Director (3 positions)

  • Works with the Events Coordinators to create promotional graphics that represent events and services held by the Science Society.
    • Promotional materials may include posters, banners, t-shirt designs, buttons etc.
  • Has experience with Photoshop or equivalent editing software (please bring in sample of work).
  • Holds Science Society office hours

Marketing Coordinator (2 positions)

  • Responsible for keeping all Science Society social media platforms up to date in coordination with the VP Internal, Creative Director, Marketing Coordinator and Events Coordinator.
  • Responsible for maintaining the Science Society website as well as editing, publishing, and posting information to keep it up to date.
  • Previous website building experience is strongly preferred.
  • Advertises events through different means as appropriate (e.g. putting up posters, emailing parties around campus, through class talks, etc.).
  • Holds Science Society office hours

Media Coordinator (2 positions)

  • Work with the Events Coordinator to be aware of events occurring during the term.
  • Be present at SciSoc events to take photos.
  • Responsible for making sure that photos from each event is passed onto the Marketing Coordinator in a timely manner.
  • May need to assist Marketing Coordinators in certain aspects of their duties if needed.
  • Holds Science Society office hours.

Science Coffee and Donut (CnD) Shop Manager (5 positions)

  • Responsible for managing the day to day functions at the Science CnD.
  • Must hold one opening and closing shift per week at the Science CnD.
  • Trains CnD volunteers and manages volunteer conduct & behaviour.
  • Ensures that vendor invoices are paid in a timely manner.
  • Keeps storage stocked and organized at all times.
  • Meets with the President, VPAF and Feds Society Accountant to manage CnD finance.
  • Holds Science Society office hours.

Administration Coordinator (1 position)

  • Responsible for overlooking day to day functions of Science Society.
  • Ensures that the office is stocked with necessary supplies.
  • Attends all Coordinator and Board of Director meetings that occur on a weekly and bi-weekly basis, respectively.
  • Assists in management of office volunteers.
  • Holds 3 or more Science Society office hours per week.

Financial Associate (1 position)

  • Assists clubs with their financial inquiries and reports to VP Administration and Finance.
  • Creates forms necessary to aid the budgetary and financial needs of the organization.
  • Inputs data into an electronic database regularly.
  • Holds Science Society office hours.

Advocacy Coordinator (2 positions)

  • Works with the VP Internal to organize and execute events aimed towards mental health support and the general wellness of students.
  • Connects students with mental health resources on and off campus.
  • Runs a charity event to support a non-profit organization/charity of the Science student body’s choosing.
  • Hold office Science Society office hours.

External Coordinator (1 position)

  • Responsible for relations and communications between the Science Society and organizations outside of the Faculty of Science and outside of the University of Waterloo.
  • Seeks out funding for external sources for Science Society operations when needed.
  • Must hold Science Society office hours.
