Participation rights and supports
Members have a right to participate in UWSA business under the Memorandum of Agreement between the UWSA and the University: “The University shall not interfere with the participation of Members in Association meetings or other Association business, provided that such participation does not unreasonably interfere with the performance of a Member's duties and other responsibilities to the University.” (MoA section 2.6.3)
Committee members will have access to general training provided to UWSA volunteers, support from the Operations Team, and a community of UWSA volunteers.
UWSA Appointments Committee
The University of Waterloo Staff Association Appointments Committee nominates and/or appoints UWSA members as representatives on UWSA operational or ad hoc committees as well as University of Waterloo committees.

What’s involved
This committee reviews applications for staff representative openings and appoints members to both UWSA and UW committees. Committee members need to read submitted applications and various committee terms of reference documents in preparation for meetings.
Members will gain insights into the many committees that keep the work of the UWSA and UW going. No committee experience is required, and all members are encouraged to apply.

Qualifications
The Appointments Committee functions best with members who are:
- Able to match the needs and expectations of a committee to the skills identified on an application, without upholding systemic barriers to participation.
- Excited about seeing staff apply their expertise and experience in new and valuable ways.
- Self-reflective and committed to challenging implicit biases.
- Conscientious, collaborative, and equity minded.
- Willing to share their thoughts and opinions with the committee while holding space for the perspectives of others.
- Able to treat and discuss applications with sensitivity and confidentiality.

Time commitment
The committee meets approximately 6–7 times a year for one hour on an add needed basis. Some reading preparation is required with approximately 5-10 applications for review prior to each meeting.
Area Representatives Planning Committee
The Area Representatives Planning Committee is seeking two new members: a vice chair and an outreach coordinator.
Area Representatives are liaisons between the UWSA leadership and the staff in a given department or area. They meet monthly to get updates from the UWSA president, raise issues from their department, and learn from guest speakers.

What’s involved
The Area Reps Planning Committee coordinates monthly Area Reps meetings and drives engagement among representatives, with support from the UWSA Operations Team.
Vice chair
The vice chair fulfills the duties of the chair in their absence and helps facilitate discussion in the Area Reps Team. (The chair develops meeting agendas in consultation with the Planning Committee, presides over Area Reps meetings, and works with the outreach coordinator to welcome new representatives. The chair also calls meetings of the Planning Committee as needed.)
Outreach coordinator
The outreach coordinator works with the chair and the UWSA membership and volunteer coordinator to welcome new representatives and ensure their smooth onboarding. The outreach coordinator spearheads initiatives to recruit new area representatives as needed, with support from the UWSA Operations Team.
Time commitment
Area Representatives meets once a month except in summer. The Planning Committee meets as needed and works on Teams between meetings.
The Parking Advisory Committee regularly reviews the policies and procedures associated with traffic violations and parking.

Term: September 1, 2024, to August 31, 2026

What’s involved
Committee members are asked to:
- Consider and recommend university policies/ protocols on traffic violations and parking operations. Review and make recommendations on amount, application, and collection of parking fees/ traffic violations.
- Review and provide comment or make recommendations on the updating of parking rules and the method of communicating such updates to the broader campus community.
- Review parking capacity, utilization, distribution and waitlists.
- Review and advise on new operational concepts (technology, enforcement method, payment methods, electronic signage style etc.)
- Receive and consider submissions by individuals or groups on traffic violations and parking matters.
- Advise on potential barriers to improvement/ change (technological, logistical, political, financial) and provide administrative & procedural direction where applicable
- Contribute to discussions maintaining a balanced and constructive attitude and follow up on matters arising from meeting discussions in a timely manner
The committee meets in person every 4-6 weeks. Additional meetings may be scheduled at the call of the Chair.

Relationship with the UWSA
Appointees will have access to general training provided to UWSA volunteers, support from the Operations Team, and a community of UWSA volunteers.
UWSA appointees on University of Waterloo committees are asked to keep in touch with the UWSA Operations Team regularly so we can work together to gather input, coordinate responses, and keep members informed. All appointees are also ex officio members of the Area Representatives Council and may have opportunities to share updates at meetings or on Teams.
