Changes to campus IT systems resulting from Improving Student Name Usage project

About the Improving Student Name Usage project

In response to feedback from students, the “Improving Student Name Usage” project was initiated in May 2019. The aim of this project was to allow students the opportunity to use a chosen/preferred first name broadly on campus, while retaining their legal first name on tax receipts and official documents. This is an important change, not only to accommodate the student’s first name preference, but because their chosen/preferred first name, and not their legal first name, may be the only name they identify with. 

This change, which may also impact employees, is scheduled to take place in January 2020 (specific date to be communicated) and will impact the below campus systems as outlined in the table below. These changes will occur as there is an expectation that an individual's chosen/preferred name will be the name used by the University community.

White Pages

Access to the White Pages will require CAS authentication.

Only the University community (those with CAS credentials) will be able to view the White Pages.

WatIAM

WatIAM will only provide the chosen/preferred name. 

Any system that consumes name data from WatIAM, Nexus, UWLDAP, SAML, or the WatIAM Extract file will only receive the chosen/preferred name.

An individual's legal name will no longer be viewable or consumable from WatIAM.

Connect

WatIAM will manage Connect accounts, which means when a person changes their chosen/preferred name, this change will be propagated to their email account.

An individual's email account name attributes will change when they make a change to their chosen/preferred name in WatIAM.

Waterloo Inquiry

Waterloo Inquiry (which includes Quest data) will no longer include an individual's legal or primary name.

An individual's primary or legal name will only be available to those who have been granted access to this information.

If you require access to a student's primary or legal name, then you will need to request access through an RT that must include the rationale for your request.

Quest Queries/Reports

Quest queries and reports that include an individual's name information will be limited to the chosen/preferred name.

Quest queries and reports will no longer include the legal or primary name.

If you require access to a student's primary or legal name, then you will need to request access through an RT that must include the rationale for your request.

WatCard

WatCard will only display the chosen/preferred name.

WatCards will no longer display the individual's legal or primary name.

Did we miss something?

Despite our best efforts to catch every instance of where the first name appears across campus, something may have been missed. After January, help us by reporting any issues to the IST Service Desk, helpdesk@uwaterloo.ca, so we can get it corrected.
