Positions on the Math GSA

See below for a description of the positions on the Math GSA Board of Directors:

Chair

Term: Two Years
Duties include:

• Facilitate monthly board meetings, general membership meetings (typically annually), and run elections/referendums
• Act as representative of the Math GSA at the Faculty and University level
• Manage the Math GSA account (mostly email and Office 365 Team)
• Manage the internal relations of the board and delegate tasks
• Maintain the Math GSA transition manual
• Assist the Publicity Officer in updating/maintaining the Math GSA website
• Prepare the agenda and a Chair’s report for the annual general meeting
• Communicate with the UW GSA regarding any changes in the Math GSA leadership, bylaws, etc...
• Attend most Math GSA events

Treasurer

Term: Two Years
Duties include:

• Attend monthly Math GSA board meetings
• Keep Math GSA’s spending under the approved budget
• Coordinate purchasing and reimbursements for events
• Prepare the annual budget for approval with the Event Coordinator
• Maintain the event planning manual with the Event Coordinator and the Publicity Officer
• Communicate with the Math Graduate Office for potential budget changes due to change of planned events
• Manage ticket sales for events, if applicable

Event Coordinator

Term: Two Years
Duties include:

• Attend monthly Math GSA board meetings
• Assist with preparation of the annual budget along with the Treasurer
• Plan both small and large scale social events with the assistance of other board members
• Attend most Math GSA events
• Collect feedback from events to help plan for and improve future events
• Maintain the event planning manual with the Treasurer and the Publicity Officer

Publicity Officer

Term: Two Years
Duties include:

• Attend monthly Math GSA board meetings
• Create, print, and distribute posters for Math GSA events
• Complete the necessary training in order to maintain and update the Math GSA website
• Advertise Math GSA events via the Math GSA email account, website and social media
• Work with the Math GSA Event Coordinator to help plan events and ensure things run smoothly
• Monitor and post on the Math GSA social media pages
• Attend most Math GSA events to take photos for advertising purposes

Secretary

Term: Two Years
Duties include:

• Attend monthly Math GSA board meetings
• Ensure that minutes of the board and members meetings are taken (usually by attending such meetings and taking notes)
• Keeps custody of the documents of the board, posts notices of the agenda for board and members meetings, and aids in the planning of board meetings by booking rooms and collaborating with the chair on the best times to hold meetings
• Book rooms for meetings and events
• Take on miscellaneous duties as assigned by the board, which, for example, might include helping set up events (i.e. board game nights, power point karaoke, grilling for the summer BBQ, etc…)

Department and Program Directors

Term: One Year
Duties include:

• Attend monthly Math GSA board meetings
• At board meetings, discuss any concerns, suggestions, or comments from grad students in your department
• Be accessible to students in their department/program via email so that they may make any concerns known
• Assist with the coordination and development of the Math GSA social events.
• Promote and inform students in their department/program about the social events organized by the Math GSA
