Web Advisory Committee (WAC) Meeting

1. Chair’s remarks

  • Janice Cooke has moved to Centre for Extended Learning (CEL) as Manager, Client Development and Learner Services. Alumni Affairs will send a rep to replace Janice soon.

3. Guidelines on re-use of content across websites (Jonathan Woodcock)

The Sub-Committee's Report (PDF) and the "Tips and Tricks Reference Sheet (PDF)" (circulated via e-mail) were discussed. The Reference Sheet will be circulated after a couple of editorial changes. The committee approved the document and reference sheet in principle and suggested that Communications and Public Affairs (CPA) oversee compliance and changes.

The committee will recommend the development of requirements for governance and a possible policy on content ownership and re-use. Secretariat collaboration will be required for this next step.

The Chair thanked Jonathan and members of the sub-committee for their work.

Discussion

  • Is WebOps not already doing this? Who sets up the websites or best practices? This is more content specific (written material). Some universities currently have a point person to assist.
  • Some concern was voiced regarding the recommendation that CPA oversee compliance and changes, because they do not have expertise in all aspects of the web.
  • Where should we take this next? Web Communications Council (WCC) was suggested. Jonathan has had preliminary discussions with WCC and will be presenting at the next meeting. Jonathan and Kelley will report back. 

4. Web redesign status update (Eva Grabinski)

Environment home page will be launched on November 3; Housing on November 29; Applied Health Sciences (AHS) on December 13; and Web Resources on December 15.

The Committee is working to identify which sites will be migrated to the CMS design in January. Faculty sites will be first, followed by IA’s (Alumni Affairs, Marketing & Undergraduate Recruitment (MUR), Graduate Studies Office (GSO), Co-op, Student Success Office, Office of Development & Alumni Affairs (ODAA) and Waterloo International). Then Department/School sites, followed by Offices and Services (in alphabetical order) and finally “other” sites.

5. Content Management System (CMS) Project update (Eva Grabinski)

Content readiness is strongly encouraged – cleaning up with less to migrate will make the process easier and smoother. CMS team members can assist units with these migrations. Alternatively units can use their resources to move to a staging site where it can then go live.

Training will begin on January 9, 2012 with “drop-in labs”. Members are encouraged to attend training even if their specific site is not being moved straight away.

6. Constituency reports (Terry Stewart)

Members participated in a Round Table Discussion regarding the CMS migration plans and strategy.
