Web Content Management System (CMS) meeting minutes

Held Thursday, July 3, 2008 at 10:30am-noon in Mathematics & Computer (MC) 1058

1. Administrative items

  1. Minute Taker: Pat

  4. Minutes of June 6 partially completed and will be provided by Megan later.

2. Open Source considerations

  • discussion took place as to the type of recommendation we would have: not simply a "yes" or "no" recommendation. More open ended perhaps, factors of pros and cons, or a conditional recommendation
  • different classes of solutions available
  • Megan discussed the concern of ownership of open source code, licensing, who owns the code?
  • will it be distributed or an enterprise Content Management System?
  • goes beyond just the technology, with process of what complements the technology. Perhaps architectural organization, people organization to support architecture, etc.

3. CMS use at other academic institutions

  • Status updates for University of Ottawa (Pat) and University of Victoria (Terry) provided
  • Terry will provide a Word template for this information. (post-meeting: Terry emailed to group later that day) Please return completed copies to Terry.
  • We will not provide contact names of institutions on twiki.

4. Areas of CMS applicability and inapplicability at University of Waterloo

  • Paul provided a starting point for discussion
  • change "Some CMS's..."" to "Most CMS's..." in the applicability section
  • remove example "such as the Grad..." in the inapplicability section
  • include the example of "form applications" in the applicability section
  • include the example of "document management system" in the inapplicability section
  • Paul will update the twiki.

5. Business rationale section

  • Status update: Mary Lynn provided a handout "Business Case - Cost of Converting to a Content Management System (CMS)", which was discussed
  • business case analysis should be done if we proceed with a CMS.
  • remove "Navigation" from #1.c
  • #2 should have same detail as #1.
  • #3 Implementation Schedule is an example whereby the "Year" could be another form of measurement such as Month
  • also need to add CMS Advantages - what more can we do that can't be done today?
  • Mary Lynn will send the e-version to Eva

6.Benefits and risks

  • Megan gave notes to Eva for document.

7. Future of Contribute

  • Difficult to know Adobe's strategy for its product. Pat will check some sources.
