Web Advisory Committee Minutes - May 17, 2023

The minutes of the April 19, 2023 Web Advisory Committee meeting were accepted as distributed.

• Nothing at this time.

1. Digital accessibility project update (Iva Badjari)
   • RFP closed and is open for scoring until June 5
   • June 21 and 22nd - Representatives from IST, UR and faculties are on the RFP team and will be doing the scoring
   • Hope to have a tool in place by the end of summer
   • Conversations are currently taking place at higher levels - discussion on how this will be rolled out across campus
   • Iva to keep WAC in the loop and when we can expect the tool to be available for campus

Development update (Kevin Paxman):

• WCMS 3.2.5 released. Biggest feature was ability to control spacing for sections and separators
• WCMS 2 release early next week - adding the ability to assign the form editor role
• Migration bug fixes, text alignment feature to copy blocks, background colour and image options mimicking the promo block from single page, linking options
• June 5-9 - staff availability will be limited
• Kevin to provide a 15-minute presentation at a Drupal Conference at the Higher Ed Summit called “Process of moving 1000 university sites out of Drupal 7”

Training and Support update (Charlotte Armstrong):

• WCMS 3 essentials to be launched June 12th 
• Takes around 3.5 hours to get through the course
• Kudos to Sarah
• Everything’s back to regular schedule - sites are launched Tuesday and thursdays

Migration update (Charlotte Armstrong):

• 49 sites scheduled for migration, 5 in process being remediated
  • 6 faculty sites
  • 24 department sites
  • 10 non-academic (sustainability, 6 HR sites)
  • 9 research and lab sites
• 9 co-ops (3 returning) – 7 focused on migration tasks, 2 support
• No deadline for migrations yet; will have a conversation on what a reasonable target would be by the end of the calendar year
• A notes section will be added to the Migration Request Ticket. Please note if your deadline is flexible.
• Send in migration forms even if your date is tentative
• We want to migrate before the last week of term so co-ops can finish remadiating before the end of term. Reach out to Charlotte if you’d like to chat about your migration.
• Charlotte will be speaking at the Change Management, Project & Portfolio Management Community of Practice Showcase from 11:00 a.m. - 2:00 p.m. on June 8th in the DC Fishbowl
• Currently working on single page features - expected to launch in the next few releases
