Approval of the Minutes of Previous Meeting

The minutes from the previous meeting were accepted as distributed.

Business Arising

Don extended a big thank you to Daryl Dore and Liam Morland for their time and commitment on this committee, as they both will be leaving the University to pursue other adventures.
 

Web Strategy Updates (Tom Graham) 

The home page project has been updated and decided to push the timeline from summer 2022 to summer 2023.

  • This will give time and space to focus on WCMS 3 parady - which we are continuing to work throughout the course of the year.

Web Steering Committee Membership (Tom Graham)

Membership on this committee has been adopted and expanded, as we welcome the following new members;

  • Daniel Allen
  • Sara Forgrave
  • Jennifer Halcrow
  • Jody Szimanski

WCMS 3 Development (Kevin Paxman)

  • We are rolling out 3.1.8, which only contains the fix for expand/collapse not being properly available on upgraded sites
  • Because of this, all future release plans previously shared will have their release numbers increment by 1. This is not expected to affect the release timing.
  • Focus points in the current sprint include:
    • Bringing PDF support to webforms
    • Adding site-specific search
    • Continuing (and hopefully finalizing) work on supporting authentication-required sites, as well as references support (what WCMS 2 called “bibliography” or sometimes “publication” functionality)
    • Begin switching from Gesso to Ohana
  • New dev QA coops started May 2nd, Daniel and Yzabelle
    • we have made “QA review” by them part of the process for every “front-facing” ticket, starting with this sprint
    • they will continue to expand on the work on automated testing from the work done by the previous coops
    • also have begun to take on technical tasks for WCMS 3 site creation, migration, launching, and deleting
  • New developer, Anuprita (Anu), started a one-year contract on April 11th, covering a parental leave
  • One of our developers, Liam Morland, is leaving the University; last day is May 27th
  • Our theming developer, Martin LeBlanc, has returned to UR from his secondment to our team, though we continue to work together
  • Two of our developers are expecting children with their partners over the summer

General Update (Joe Kwan)

WCMS 3 Training site management:

  • So far, we have deleted 43 training sites and unregistered the users from the WCMS 3 Fundamentals course. All of these users never logged into their training site nor did they attempt any of the content and quizzes in the course within the four month time limit.
  • We expect to cull approximately 130 more training sites of users that have never logged into their training site and have either completed their training or have not completed the training within four months after registration.
  • We’d like to remind everyone of the resources involved in creating the WCMS 3 training sites and that each one takes up space in our limited WCMS 3 site capacity and also affects the process time to update WCMS 3 (not sure if you want to say that but I think it is worth mentioning!).
  • We notify users of training site deletion by email and give them time to request an extension.
  • In total, we currently have approximately 280 WCMS 3 training sites and 324 students registered. The discrepancy is because some students register without following the instructions to request a training site.

Migration requests:

  • Since March 23 (the last WAC meeting), only received 22 new WCMS 3 migration requests
    • 8 migrated sites were remediated by our co-ops
    • 14 migrated sites were remediated by departmental co-ops

We currently have 138 WCMS 3 live sites!
