Action Required – you are encouraged to move out of residence

Monday, March 16, 2020

This message was originally sent to students living in on-campus residences by Glen Weppler, director of Housing.

During this challenging time, we thank you for your cooperation as the coronavirus outbreak (COVID-19) situation continues to develop quickly.

We are strongly encouraging all students to make arrangements to move out of residence  by noon on Friday, March 20, 2020.

We know that this is unexpected and so we are offering you a pro-rated refund on the fees you have paid.

Your wellbeing matters to us, so we want to reduce the number of people in our residence buildings to help stop the spread of the virus. We are making this request as we have cancelled in-person course activities until the end of term and are moving a number of critical services on campus to alternative modes of delivery.

We will continue to offer essential services within residences for those who are unable to leave – for example people who can’t return to their country of origin.

Next steps to move out

If you move out on or before Friday, March 20, we will provide a pro-rated refund of your residence fees to your student account based on the day all steps below are completed. To process pro-rated refund:

  1. Complete your current move-out status form
  2. Complete cancellation form
  3. Return your keys to the Front Desk (indicate you’ve mailed keys back)

Please note if you have left or are currently leaving residence, you are still required to complete this three-step move-out process. If you have moved out but still have your keys, please return them by mail, using a tracking code, to the following address:

Claudette Millar Hall
165 University Avenue West
c/o Residence Facilities Coordinator
Waterloo, ON N2L 3E8

You will only be eligible to receive a pro-rated refund of your residence fees if you complete all of the steps listed above.

Please note we are not able to offer storage or assistance with moving your personal belongings.

During these uncertain times, please also remember to check in with your support systems or family members.

Meal plan refunds

Unused resident meal plan balances will be transferred or prorated. Please visit the Coronavirus FAQs for more details.

We know you may have questions, and we are here to support you. We will continue to update the frequently asked questions section on our website; if your question is still not answered, please contact us at housing@uwaterloo.ca.  Staff will be responding to questions 8:30 a.m. to 4:30 p.m., Monday through Friday.

We provide updates as we receive guidance from the University.
