Content & Scope

The records include guidance and promotional information, management and operational records for parking and associated services (e.g., bike lockers, special event parking), records of the issuing and use of parking permits, and records of the Appeal Committee on Traffic and Parking.

This class excludes records of fee and fine payments, tickets issued by Special Constable Service under the Provincial Offences Act, and records of the Advisory Committee on Traffic Violations and Parking.

Information Confidentiality Classification

  • Public: information on parking services intended for public release.
  • Restricted: records of the Appeal Committee on Traffic and Parking; parking permits and other records containing the personal information of students, faculty, staff, and visitors.
  • Confidential: All other records.

Retention

Minimum of 2 years and no more than 7 years after last administrative action. Units should document the specific retention periods within this range that they are using for their records (contact the University Records Manager for assistance, if required).

Disposition

Secure destruction.

Note

Responsible Units should document the disposal/destruction of official records using the University records destruction form or equivalent documentation, to verify that we are following our records retention rules.

Information on permit holders may include: name, student or employee number, address, telephone number, vehicle make, vehicle model, license plate, and record of parking violations.
