Content & Scope

University employee groups include faculty (represented by the Faculty Association of the University of Waterloo), non-union staff (represented by the University of Waterloo Staff Association) and union staff (represented by the Canadian Union of Public Employees C.L.C. Local 793).

This records class excludes the records of the Faculty Relations Committee, the Staff Relations Committee, the Provost's Advisory Committee on Staff Compensation, and the Union/Management Committee.

The records include preparation for negotiations, negotiations including salary and wage negotiations, mediation, conciliation, and arbitration records related to collective agreements, union agreements, memoranda of agreement, salary and wage settlement agreements, and related correspondence.

Responsible Unit

  • Human Resources (for staff agreements).
  • Secretariat (for faculty agreements).

Information Steward

Vice-President, Administration & Finance.

Information Confidentiality Classification

  • Public: copies of final agreements intended for public release.
  • Confidential: all other records.

Retention

  • Final agreements, including revisions, amending agreements, and mediation or arbitration decisions related to the employee agreement: Permanent.
  • All other records: Until operational use ceases.

Disposition

Archives Selection.

Records which are not selected for the University archives should be destroyed at the end of their retention period. All confidential records must be securely destroyed.

Note

Responsible Units should document the disposal/destruction of official records using the University records destruction form or equivalent documentation, to verify that we are following our records retention rules.

Archival Records

Permanent records may be transferred to the University archives to ensure their preservation when no longer needed for current work. Records related to negotiations may have long-term historical value to the University. Please contact the University Records Manager for further assistance with these records. Records of long-term historical value to the University will be selected by mutual agreement of the responsible unit and the Library Special Collections & Archives department.

Retention Rationale

The retention period is based on operational use. Some of the records may have long-term historical value.
