Approval of the minutes of March meeting

The minutes from the previous meeting were accepted as distributed.

Welcomed two new faces to the committee,

Tom Cauduro (Information Systems Specialist Registrar Office) and Greg McIntyre (Digital Media Lab Instructor/Media Technician, Stratford Campus).

Portal 2.0 (Pavol Chvala)

  • Compared to Portal 1.0, quite a bit of the content & widgets will be minimized and streamlined.
  • The content in the current Portal can be a bit overwhelming with a lot of widgets and information available and the content is not organized in a structured manner.
  • Becoming more user-friendly, and looking at smarter ways to use the Portal, customization for staff and students
  • If anyone has proposals on the new Portal feel free to chat with Joe Kwan
  • Mobile App will be coming in the near future
  • Timeline for the new Portal out by May 6 and launch the app on
    May 26

Waterloo Stories Update (Tom Graham)

  • Looking at expanding the use of Waterloo Stories, with multiple landing pages, and having specific audience groups.
  • Still in the works when it comes to news and stories how do we distinguish from both as they are two different things.
  • Group had an in-depth discussion and more to follow at the next meeting.

Digital Map update (Joe Kwan)

  • As per Tony Frost there is no new current information to share, will keep everyone informed as more details come in.
  • Don will clarify that all the data will be moved over, understanding that this is a big job and costs a lot of money
  • In-depth discussion, what other Universities are doing, would it make more sense to take this function down for the time being and wait to hear back from Tony Frost as to what the next steps will be.
  • In the interim, map team will likely remove the indoor mapping and routing due to inaccuracy as well as ending our relationship with the current provider.
  • Some physical signage updates may start to appear early 2020 (due to timing as well as current budget)

Domain Policy update (Joe Kwan)

  • Web-steering committee is meeting again and getting this back on track.
  • Next steps will involve Bruce Campbell taking the document to UCIST and Executive Council 
  • Once complete Joe Kwan will update the website.

GSA replacement update (Joe Kwan)

  • There have been unforeseen delays with this project, but currently working with the vendor on a contingency solution to bridge until the full search is ready.
  • The new solution is based on Elasticsearch, this will be deployed before May 6 (last day of GSA grace period), 2019.

WCMS Training/Support update (Andrea Jennings)

Change to course offerings

WCMS SEW courses will resume in May. If you need to complete a training course during those months, please contact wcms@uwaterloo.ca to schedule time in our WCMS Drop-in lab, or to set up alternate arrangements outside of the regular lab hours. Alternatively, self-registration for our online course offerings is available via LEARN.

WCMS spring co-op training

Have you hired a co-op student to work on your WCMS? Co-op student training will be offered May 7 and 8 from 9:00 a.m. - noon in MC 2060(this is the SEW099, WCMS for Content Maintainers course). They must attend both mornings to receive credit. Register your co-op student for training.

Need to cancel? 72 hours cancellation with no penalty, contact WCMS support.

The WCMS courses are also available on LEARN! Co-op students can self-register on LEARN, follow the instructions under “Before you begin”, and our team will be in touch with the information and resources needed to complete the course online.

Drop-in lab closures and reduced schedule
The Drop-in lab will be closed on Thursday, April 25.

WCMS Drop-in lab regularly scheduled hours are changing. Beginning April 2, the Drop-in lab will only be available on Thursday afternoons from 1:00-4:00 p.m. If you require special arrangements outside of the regular drop-in hours please contact WCMS support.

  • End of a new term is a great time to review site permissions!

WCMS technical update (Kevin Paxman)

  • WCMS user experience survey is now closed. There where 93 completed submission. Thank you to those who participated.
  • Focus points in this sprint include Open Scholar, Important dates, our new local development environment, the upcoming catalogs content type.
  • 2.7.1 is being tested by the training and support team; hope to be available to have the WAC test sites ready early next week.
  • There will be at least one more feature release of the current Drupal 7-based WCMS in the future, but we are working to "clear the decks" for work on the Drupal 8-based version.
