Identity & Access Management update (Connie van Oostveen, Sean Warren, Mike Gaspic)

Connie van Oostveen, Sean Mason and Mike Gaspic presented an update on the Identity and Access Management project. Topics included:

  • What we’ve done
  • Where we are
  • Where are we going
  • What we need to figure out to move forward

Comments & discussion

  • Are the WatIAM Whitepages still necessary to keep once the new Identity Management system is implemented?
    • We would not be decommissioning the actual LDAP server that is hosting the data, just the user interface.
    • Another option could be to remove the public access and keep the authenticated access.
    • This will be discussed more thoroughly as the project continues.
  • The project team will attend a future meeting to provide updates on the progress of the project.

Approval of the minutes of the previous meeting

The minutes from the previous meeting were accepted as distributed.

Mailservices

This committee is aware of the recent issues that mailservices has experienced with blacklisting as well as outages.

  • Once all of the students are moved off of mailservices to Office 365, we can better evaluate the next steps for mailservices.
    • Members agree that the best timing for the mass migration would be after winter term exams.
  • Some of the recent issues were caused by issues with the Interscan spam solution; has not been able to work with our systems consistently so far.
  • The blacklist issues stem from the fact that students have the ability to forward their email to external addresses.
    • Whether we should remove email forwarding will be discussed at a meeting in January.
  • The suite of Office 365 tools will be made available to staff/faculty (except for email) once the terms of use surrounding OneDrive have been sorted out.

Other business

WatIAM committee

  • Marko represented the faculties on a committee that is consulted on WatIAM; looking for an interim member to represent the faculties until Marko returns.
    • Members agree that a representative from the Faculty of Math will be chosen.

Network Diagrams

  • Does IST maintain a list of network diagrams?
    • To a certain degree, yes. Submit an RT with specific requests for network diagrams and we can come up with something.

Roundtable Report

Enterprise Architecture, IST (Colin Bell)

  • We are currently investigating cloud sharing services and we reached out to DropBox. They would not provide user information but did send communication out to the users on campus on our behalf.
    • Many people have reached out wondering if it was legitimate.
    • Will be sending an email to FACCUS to let them know that it is in fact legitimate and we are trying to collect information about who is using the service and what their thoughts on it are.

Technology Integrated Services, IST (Steven Bourque)

  • Sent an email out to alumni and students who signed up for Office 365 through the @uwaterloo.ca tenant instead of the @edu.uwaterloo.ca tenant. Students have been given instructions to migrate their content in 30 days before we decommission the @uwaterloo.ca Office 365 tenant.

Environment (Don Duff-McCracken)

  • Launch of the new responsive homepage happened this week; has been discussed at WAC many times leading up the launch date.

Client Services, IST (Bob Hicks)

  • The site license has now been approved and signed for Qualtrics; Jennifer Kier is the service owner and it will be available in the winter term.

Arts (Dawn Keenan)

  • Working with the SCCM group to implement their tool for cleaning up Nexus managed systems; going well so far.

Math (Robyn Landers)

  • Setting up a MapleTA 2016 test service to integrate with D2L.
  • MC building will be having another power outage; this one will be shorter than the last.

Science (Paul Miskovsky)

  • In the middle of the evaluation season right now; had 97 thousand surveys this term and just passed 1000 courses.
    • Found a bug in the system from way back that was preventing us from loading over 1000 course but it has since been fixed.
