Chair’s Remarks (Steven Bourque)

  • Hope the beginning of term is going well so far for everyone.

Approval of the minutes of the previous meetings

The minutes from the two previous meetings were accepted as distributed.

Legacy generic emails (Andrew McAlorum)

The committee had a discussion regarding generic email addresses that were created prior to the implementation of the guidelines.

  • Should we be reviewing these email addresses to determine if they meet the criteria of the current guidelines?
    • Members agree that it is not necessary to review all legacy generic email accounts but can review on a case by case basis if there is an issue with them. 

Generic Email request (Andrew McAlorum)

Request submitted for robohub@uwaterloo.ca by a new group in Engineering.

  • Members approve this request.

Central authentication directions discussion (Jason Testart)

Jason Testart distributed documentation regarding the University central authentication roadmap.

  • Members discussed the multiple options that are being considered within the document.
  • Following discussion members requested to revise wording in the document for the 2017/2018 authentication directions.
    • Jason Testart revised the following line from:

“Establish Shibboleth as the non-SSO central authentication service.”

To:

“Continue with Shibboleth as the non-SSO central authentication service for apps that require SAML.”

  • Tentative date to decommission the use of CAS at the University is approximately December 2018.
  • Members discussed whether Single Sign-on (SSO) should be implemented everywhere it possibly can as a default.
    • Some concerns over whether students may open up access to sensitive information if they leave a workstation logged in.
    • Further discussion regarding SSO will occur at a future meeting.

Certification Authority Authorization DNS Records

Jason Testart discussed a new rule that you can define in your DNS record that certificate authorities are supposed to honour. This item was discussed as an awareness piece for members at this point as we will not be implementing anytime soon.

Other Business

Overleaf

  • Request from the Associate Dean of Computing, Math for a campus license for Overleaf for LaTeX publishing.
    • Lots of people on campus are currently using this software.
    • They do not offer an enterprise license but instead offer a subscription service which makes it bit more challenging to get a site license.
    • Members were asked to review with their respective groups whether they would benefit from a subscription to Overleaf and let Andrew McAlorum know.

WatIAM replacement

  • SailPoint, the WatIAM replacement, was scheduled to launch this fall but has now been pushed back to the spring. More updates to come on this.

Connect accounts for Grad students

  • Some issues recently with grad students getting connect accounts; depending on their status prior to becoming a grad student, they may or may not have an account created automatically.
    • Steven Bourque to investigate.

Roundtable Reporting

Technology Integrated Services, IST (Steven Bourque)

  • Will start pilot switch upgrade in the EIT building soon.

Engineering (Erick Engelke)

  • The tent has been set up for the hackathon this week; this will be the last year for the tent as the new E7 building will have space inside for this event going forward.

Science (Paul Miskovsky)

  • eValuate 2 has launched and is running now; still some work to do on it but running well so far.

The next meeting will be held on September 28, 2017 at 1:30pm, in EC2 1021.
