Microsoft campus agreement discussion

Sandra Laughlin and Dave Hinton discussed the Microsoft campus agreement and answered committee members’ questions.

Comments & discussion

  • There is an unlimited amount of Client Access Licenses (CALs) as part of the agreement
  • Server CALS do not include Office? Cannot offer Office on a Windows terminal server. Correct.
  • There is a home clause for Microsoft Office that allows you to install it on one home machine for a small fee.
    • In the Fall, Office 365 Pro Plus will be available for free but will be slightly different.
    • A comparison chart will be created to help people choose which solution would work best for their situation.
  • Office 365 Pro Plus will also come with 1 terabyte of storage space for all undergraduates, faculty and staff intended for personal use.

Approval of the minutes of the previous meeting

The minutes from the previous meeting were accepted as distributed with the following change:

“interesting stat is that 85% of attacks are external and most are financially motivated.”

To:

“interesting stat is that 89% of attacks are external and most are financially motivated.”

Campus telephone and Skype for Business

Beginning in 2017, the default phone installation for all new buildings and major renovations will be Skype for Business.

  • Will be purchasing a lot of new VOIP phones over the next 5 years; a lot of people in IST are using soft phones now.
  • Skype for Business is working well in AHS.

Other business

  • Is Engineering willing to allow other areas/faculties use their OwnCloud if we provide disks?
    • In theory, yes we would like to help; Shawn Winnington-Ball will attend a meeting soon to discuss the cloud storage options in more detail.
  • When we were moving everyone behind the firewall there was some discussion about having others look at the firewall configuration to see how it is affecting them; Steve Bourque will need to review this and will speak to Robyn Landers offline.

Roundtable Reporting

Enterprise Architecture, IST (Colin Bell)

  • Offered a ‘site license’ price that is very reasonable for a tool called ConceptDraw; looking for interested parties that could benefit from their bundled “Office” tool suite.
    • Email will be distributed to committee with more details.

Technology Integrated Services, IST (Steven Bourque)

  • Had a migration issue in the PAS the other day; investigating and reviewing the process to see what happened and we apologize for the inconvenience to Arts.

Instructional Technologies and Multimedia Services, IST (Andrea Chappell)

  • Working on a report out to campus for the course evaluation project to talk about the set of questions and the move to eValuate.
  • Video storage and delivery project consists of just a small group in IST right now; working to determine our needs and what the leading systems are in the area. 
    • We will be meeting with interested parties next; will be inquiring to those who are interested.
    • Planning to issue an RFI or RFP in July or August.
  • The Learning Environment retreat will be happening soon (done every 2 years); if there are any ideas please let me know.

Engineering (Erick Engelke)

  • Used eValuate last term for about half of our courses; hoping to use it for all of them this term.

Computer Science (Dave Gawley)

  • Looking at our storage options (around 400 terabytes); not necessarily OwnCloud but it would be considered.

Client Services, IST (Bob Hicks)

  • The service desk staff have been busy moving staff into the East Campus buildings; just finished moving Human Resources into EC1.
  • Steve Carr will attend the next CTSC meeting to discuss the digital signage project recommendations; will send the project closure report before the meeting.
  • Preferred hardware vendor for the desktop rollover program has been Dell; it is due to be opened up again and so I have emailed Steve Cook regarding the possibility of joining up with the OUCM

Arts (Dawn Keenan)

  • Arts is a pilot group for the Sustainability Office’s Green office pilot; we have an ambassador in the Dean's office so we are hoping to make some progress on Green IT as well.

Science (Paul Miskovsky)

  • Meeting next week with all of the stakeholders at the same time for eValuate.
  • Mirko Vucicevich is working on automated reporting for the Math Faculty for averages of evaluations.

IT Security (Jason Testart)

  • New version of Firefox will not support Java Applets and the WatIAM interfaces rely on them; the impact will be you will not be able to use the administrative tools for WatIAM in Firefox.
