This site includes commonly used support and reference material for staff and faculty with respect to Finance at the University. It includes Finance policies, procedures, training links, news, and updates, all in one place.
Several web-based Financial Systems are used on-campus to complete various tasks and responsibilities. Select a system controlled by Finance to view information about how to gain access, training/documentation, etc.
Please note: Many of our training resources, manuals, and materials are located in our Finance Knowledge Base/Confluence. If you are having issues accessing the content, please try clearing your cache and restarting your machine. You may need to sign in again. 3rd reminder: Your 2022/23 FPER claim(s) are due April 17, 2023

What is happening?
As the FPER fiscal year end is quickly approaching, this is a reminder that complete and correct FPER claims for the 2022/23 FPER year must be submitted in Concur no later than April 17, 2023.
Please note, Claimants are permitted up to two electronic claim submissions per FPER year and each submission may only include expenses incurred during the period of April 1, 2022, to March 31, 2023.
If you have already submitted your FPER claims for 2022/23, thank you, and please disregard this message.

What is happening?
As the April 30, 2023 fiscal year end approaches, we are writing to share key year end dates and activities that involve your areas. We appreciate your team’s support with meeting these key dates and activities.
Please communicate the following year end deadlines with your departments and ensure that tasks in the University’s financial system, Unit4, are processed as soon as possible after they are received. You can assist with ensuring completeness and accuracy of the University’s financial statements for the year ending April 30, 2023 by following the procedures and deadlines below.
Throughout the year, all transactions should be sent to Finance for processing as soon as possible and no later than the month following the completion of the transaction. Cut-off dates for each month end and for fiscal year end can be found on the Important Dates page on the Finance website. In addition, financial reports for your area of responsibility should be reviewed monthly, at minimum, and throughout the year for accuracy and completeness.

The Office of the Vice-President, Administration and Finance has announced a number of reporting changes as part of a recent senior leadership reorganization. The following reporting changes are in effect as of January 2023:
- Steve Cook (Director, Procurement & Contracts) now reports to Sarah Hadley (Director, Finance). As always, anyone looking to reference Procurement related information can visit: https://uwaterloo.ca/procurement/
- Joel Norris (Director, Central Stores) now reports to Stepanka Elias (Executive Director, Plant Operations). Information related to Central Stores and their services can be found here: https://uwaterloo.ca/central-stores/
- Kate Windsor (Director of Safety) and Alan Binns (Director, Special Constable Service) now report to Jacinda Reitsma (Vice-President, Administration and Finance). Previously these positions reported to the Secretariat.
Employees in all units have been advised of the changes.
As of December 2022, two new positions include:
- Alice Knight (Director, Strategy and Operations) reporting to Jacinda Reitsma (Vice-President, Administration and Finance); and
- Erin Gillespie (Administrative Officer) reporting to Alice Knight (Director, Strategy and Operations).
