Approval of the minutes of September meeting

The minutes from the previous meeting were accepted as distributed.

Stories Update (Iva Badjari)

  • Roll out possibly Summer term 2019.
  • End goal is to have everyone on campus participate and share their stories, without being duplicated on numerous sites.
  • University Relations will remain the sole owner of Waterloo Stories.
  • At this time Advancement has been using the Waterloo Stories features and it seems to be working for them.

GDPR Update (Joe Kwan)

  • Moving ahead with some initial content, speaking with Legal & Immigration Services (Yanick Charbonneau)
  • A brief statement will be rolled in the near future (Phase 1) , followed by (Phase 2) a more robust functionality and would like to add more granular controls for options of opting out.
  • Joe will circulate some links/sites to the group to look at and comment back

Portal Development (Pavlo Chvala)

  • Portal version #1 has been rebuilt from scratch, looking to launch beta April 2019 and go into full production May 2019.
  • Presentation will be added to agenda for next month, group can then have a more in-depth active conversation.

Campus Maps (Joe Kwan)

  • The contract is ending with Mappedin and we have to re-evaluate the need for this service and look at how to replace it if the need is there. This can be an item for the Steering Committee.
  • There was a discussion on how to keep the digital campus up-to-date as we are constantly adding facilities and other features that need to be on the map. The existing digital campus map is a robust mapping option but it needs the resources (staff time) put into it to be maintained and updated.
  • How does the current digital campus map fit into the Campus Wayfinding Project? We will get an update at Steering about the status of the digital component of the Wayfinding project and the role of the current campus map within this project.
  • We will ask Tony Frost for a general update of the Campus Wayfinding project at the next Steering Committee.

VirtualBox (Joe Kwan)

  • People have been contacted by Oracle to either stop using this or start paying for VirtualBox. The issue is that while the core of VirtualBox is 'free for use' under General Public Licence (GPL), users frequently use it with the "VirtualBox Extension Pack" which is not free for enterprise use (which may be some of the ways it is used on campus).
  • At this time looking to find an alternative, once a replacement have been found a memo will be distributed from WCMS.

GSA Replacement (Joe Kwan)

  • Google Search being phased out
  • In flight with "Elasticsearch" as our new provider 
  • More to follow at next meeting

WCMS Training/Support update (Andrea Jennings)

Change to course offerings

WCMS SEW courses will not be offered during April, but will resume in May. If you need to complete a training course during those months, please contact wcms@uwaterloo.ca to schedule time in our WCMS Drop-in lab, or to set up alternate arrangements outside of the regular lab hours. Alternatively, self-registration for our online course offerings is available via LEARN.

On Web Resources

Drop-in lab closures and reduced schedule

The Drop-in lab will be closed on Tuesday, April 9 as well as Tuesday, April 23 and Thursday, April 25.

WCMS Drop-in lab regularly scheduled hours are changing. Beginning April 2, the Drop-in lab will only be available on Thursday afternoons from 1:00-4:00 p.m. If you require special arrangements outside of the regular drop-in hours please contact WCMS support.

We need your feedback!

The Web Development team is working on the next version of the WCMS (in Drupal 8) and is looking for your feedback to help inform prioritization of future development and enhancements.

The WCMS user experience survey will be available until Friday, April 5 at 4:00 p.m. and should only take 2-5 minutes to complete. Participants will be required to log in with their WatIAM ID and password to access the survey. Participation is voluntary and confidential.

New IT Network and Service Alerts tool

With the updated Network and Service Alerts tool on the IST website you can view the status and uptime history of many of our IT systems and services including the Waterloo Content Management System (WCMS).

WCMS technical update (Kevin Paxman)

  • WCMS user experience survey is now live. 50 submissions as of approximately 1pm today (March 20).
  • Drupal security releases today.
  • Focus points in this sprint include assembling the 2.7.1 release, Drupal 8, Open Scholar, Important dates, our new local development environment, and the catalogs content type. The full list is on the Web Resources site.
  • Hope to have 2.7.1 in testing by the end of this month; not expected to release until sometime in April (date TBD).
