Atlassian is making a change that makes it easier to keep track of what happens during the approval process—even when you decide to bypass it.
What’s New?

No More Lost Data:
In the past, if you moved an item out of the approval process using any option other than “Approve” or “Decline,” all the approval details were lost. Now, when you bypass an approval, the system saves that action as a “canceled approval” and keeps all the approval information intact. -
Full History Retained:
Every decision made during the approval process is recorded in the approvals activity history. This means you can always go back and see what happened, even if the approval was canceled. -
Easier Tracking:
You can now use simple queries (JQL) to find issues that went through the approval process—even if they were later canceled. This makes it easier to audit and review past approvals.

With a complete record of approvals, you always know the status and history of an item. This helps with accountability and ensures everyone understands what happened during the process. -
Better Communication:
When you check your portal, customers will see clear statuses. By updating your workflow statuses, you can make sure that the information displayed to customers is easy to understand.
Quick Tip for Setting It Up:

Go to Your Project Settings:
Navigate to Request Types. -
Select a Request Type:
Pick the request type you want to update. -
Update Workflow Statuses:
Click on the Workflow statuses tab. Review and update the status names so that they are clear and easy for your customers to understand.
This update helps ensure that nothing is lost during manual transitions in your approval workflow, giving you a reliable history to refer back to. It's a small change that makes a big difference in keeping your approval process transparent and well-documented.
