Comments and discussion

  • Generic accounts refer to accounts that are not tied to a specific individual's identity (e.g. helpdesk@math)
  • Office 365 accounts cannot be created until employees are added to Workday
  • On lab machines, sometimes networks are disabled when students are writing exams
    • Students login with generic accounts instead of their NEXUS accounts
      • Students may already have a ProPlus license but are not able to use it during exams (solution TBD)
      • A 30-day grace period for generic accounts can be implemented, but may be costly (solution may be viable as long as the generic account is authenticated)
  • Would multi-user devices require authentication for each user? 
    • Students would not have to keep authenticating if they are using NEXUS credentials
    • Students are not always logging into the same computer
      • This is only an issue if the network is disabled and students are using generic accounts; students will have to re-authenticate every time during exams if they are using generic accounts
  • How will this work for Mac labs? 
    • Mac labs will require Office 2019 as Macs do not have a shared token option
    • Users with multiple Mac machines will require multiple tokens

Approval of the minutes of the previous meeting

  • The previous meeting’s minutes were accepted as distributed.
     

Presentation: Password audit (Jason Testart)

Jason provided an update on the password audit conducted by the Information Security Services team. 

Roundtable Reporting

Client Services, IST (Andrew)

  • A communication will be going out next week about exploring the use of Microsoft Office 365 for employee email
    • There will be a broader campus consultation with employee groups in the coming months
  • Currently investigating the possibility of an enterprise license for MailChimp

AHS (Trevor)

  • Faculty is welcoming a new dean
    • Some challenges still exist with on-boarding a new dean well in advance of their start date
  • Solved issue with disabling TLS 1.0 breaking VEEAM backup
    • VEEAM database (SQL Server 2012) needed to be upgraded to SP3 in order to support TLS 1.2
  • Continuing to work with Sean Mason on Grouper
    • Hoping to use Grouper to provide faculty and staff lists for input to MailChimp

  • Reminder that there is a planned power outage coming up in late August for MC, DC, and M3
