Approval of the minutes of October meeting

The minutes from the previous meeting were accepted as distributed.

Important dates content type (Marta Bailey, Danielle Jeanneault, Joe Kwan)

Graduate Studies and Postdoctoral Affairs is working with the Registrar’s Office and Joe Kwan to improve the backend of the Important Dates content type on the Quest website.

  • There will need to be some governance on what constitutes an important date.
  • It was originally created to feed into Portal.
  • As the work develops and the pilot moves forward, they will report back to the committee.

Waterloo Content Management System (WCMS) updates

Technical update (Kevin Paxman)

  • Focus points in our current sprint, other than Drupal 8, include TeamDynamix integration, IST annual report work, module updates, WatITis presentations, and the 2.6.0 release
  • Talks from WCMS team members at WatITis: Liam Morland – Advanced Git, What’s New In Web Accessibility; Tyler Struyk and Eric Bremner – Pattern Lab; WCMS development team – WCMS roundup
  • 2.6.0 timing: expect to have demo sites on profiles server ready within the next few days; will email committee members to notify, along with preliminary release notes; expecting to have 2.6.0 on pilots next week and production the week after (root against Toronto FC)
  • new in 2.6.0 includes: video banners for single page sites (thanks to the work from Engineering); better config for auth req’d sites, including separate messages for “not yet logged in” vs “logged in, but denied access”; and granular webform results access – the ability to allow users to see results for only some web forms.
  • Web Dev Rev wrap-ups on Web Resources – now 114! (Meant to have a big celebration when we hit 100 – whoops.) https://uwaterloo.ca/web-resources/blog/topic/wcms-web-dev-rev
  • Liam Morland moves to the “Web Development” team in IST from the “Training and Support” team.

Migrations and training – by the numbers

  • 732 sites live
  • 48 in progress on pilots
  • WCMS training courses: 3,861 attendees

Qualtrics – New survey tool

Qualtrics may be used by all University of Waterloo employees and graduate students for both academic and non-academic purposes to:

  • Create/edit questionnaires from scratch or use pre-made questionnaires.
  • Produce and edit reports with tables and graphs that can be exported in PowerPoint, Word, Excel, or PDF formats.
  • Download data to Excel or SPSS for additional analysis.

For more information about this new survey tool, including information on guidelines for use, features, requesting use of this service, seeking support for this service, as well as training and documentation resources, check out the Qualtrics online surveys page on the IST site.

It is still recommended that WCMS web forms be used, if possible, when linking on your site rather than directing users off of your site to Qualtrics.

On Web Resources

  • Web courses
    • All SEW courses offered throughout November and December are posted on the Web Resources website.
  • Drop-in lab
    • Lab will be closed December 5 (WatITis conference) and 18-22 (end-of-term maintenance)
    • If you require special arrangements outside of the regular drop-in hours please contact Andrea, ajenning@uwaterloo.ca. Regularly scheduled WCMS Drop-in lab hours: Tuesdays & Thursdays - 1:00 pm 4:00 pm in MC 2060.

Change to Form editor role

We have removed the requirement that the Form editor role cannot be applied if someone hasn't had the training. However, we have left it that a POC must request the role be added by our team. When a request comes in we will check the registration list and inform the POC if the training hasn't been completed. The POC can then advise us to add the role or wait until the training has been completed.

Site maintainers will now be able to complete the WCMS Web Form Creation [SEW101] in the WCMS Drop-in lab. After completing the training, a POC must request the role be added by our team.

Site launches

The last day to launch sites in the WCMS before the Christmas holiday will December 19.

  • End of a new term is a great time to review site permissions!
  • Lynda.com IST-WCMS playlist is available. The playlist will answer questions like: What is responsive design? What is Drupal, and why do we use it? How do I create and maintain an effective website within the WCMS?
