Access the staff vacation report

UW CR Staff Vacation Balance Report

This report can be used to view your ongoing staff’s vacation balance at any point in time.

  1. From your Workday home screen, click View All Apps to select the Manager Reports under Strategy

  2. Select the UW CR Vacation Balance Report.

  1. Leave View Balance as of date blank to view balances as of today’s date or type in a date to take into account approved vacation up to the date entered.

Tip: To include vacation booked off to the end of the current vacation year, enter June 30 of the current vacation year in the "View balance as of" field. This will give you a better sense of how much vacation time an employee has left in the current vacation year.

  1. The report will display employee information (ID, name, position, and supervisory organization) along with vacation balance details in hours. Vacation plan details are as follows:

Beginning year accrual for the ‘balance as of’ vacation year entered: The number of hours accrued in the previous vacation year to be taken in the current vacation year.

Beginning year carryover balance for the ‘balance as of’ vacation year entered: This is the number of hours brought into the current vacation year (per the “as of date” entered) from the previous year. Maximum carryover is 2 weeks before requiring provost approval, outside of the system.

Number of vacation hours taken up to the ‘balance as of' date entered: The number of hours taken in the vacation year that the “as of date” falls into, i.e. if you enter June 30, 2020, the hours taken will be any approved hours taken/booked off from July 1, 2019 – June 30, 2020. If you enter July 1, 2020, it will only show hours booked off for July 1, 2020 as that is the first day of the vacation year.

Available vacation balance as of the ‘balance as of' date entered: The number of vacation hours available to take as of the date entered. If no date was entered, it will default to the date the report was run (current date).
