Call to order

Meeting called to order at 5:36 p.m. by chair, Viv Hoang.

Approval of agenda

Motioned by VP Liu, seconded by Rep Dong. Motion carried unanimously.

Approval of meeting minutes

Motioned by Director Khan, seconded by Director Paskaramoorthy. Motion carried unanimously.


Reports of officers

President – Viv Hoang

  • President, Hoang reported on housekeeping items. Exec members must return their office keys to SRO De Souza before the end of term. President, Hoang reminded transition documents should be completed by November 25 and should be added onto the previously uploaded documents. They will be reviewed by the end of this week, and execs will be messaged privately for any additional notes that are required. President, Hoang reported the winter by-election is complete. A new Director of Communication and Director of EDI have been appointed and are in attendance. A new Kinesiology representative and Vice-President of Education have been selected as well.

  • President, Hoang reported on action items for the next semester. Please refer to the presentation slide for further details.

  • President, Hoang debriefed the General Members Meeting. All motions presented at the meeting have been approved. The AHSUM constitution needs to be edited to reflect the changes. RLS and Kin reps are encouraged to promote GMM to their programs in the future. President, Hoang added that there was not much open discussion during the GMM.

  • VP, Chowdhury debriefed the Gingerbread House Decorating Contest, which ended up having the highest turnout. The winners have been chosen and will be emailed to pick up gift cards. Execs are asked to check off names on the excel form as the participants pick up their gift cards.

Vice president, education – Angelica Marsili

  • VP, Marsili reported on the professor's research document project. Dr. Tyas has been contacted and would like AHSUM to begin working on the project in any suitable format. After that project is piloted, Dr. Tyas will bring it to the staff meetings and report their thoughts on the project. The new VP ED should be updated regarding the project through the current VPs transition document.

Vice president, internal affairs – Hanna Kang

  • VP, Kang reported on the exec team hangout. It will just be moved to December 2nd during the last exec meeting. VP, Kang will plan a BOT exec hangout instead.

Vice president, finance – Vicky Liu

  • VP, Liu reported on the budget. Reimbursement cheques should be submitted as soon as possible to ensure refunds are processed.

Reports of directors

Communications and promotions 

  • Director, Khan reported on the Content Calendar. The Gingerbread House winners will be posted tonight. Another post will remind students that the last day of office hours is Nov. 29th.

Events 

  • Director, Paskaramoorthy reported on the winners of the Gingerbread House contest.
  • Director, Chowdhury reported on the EOT Food for Fuel (Nov 26). Set-up will start from 11:30-12pm. Execs are encouraged to sign up and help with the event. The set-up will have people enter through two doors and exit through the back door, with a mirrored set-up with 2 tables for food. We will be having a WatCARD tapping machine and the other check-in table will need to manually enter student numbers. Director, Paskaramoorthy and VP, Liu have used the WatCARD machines previously and should be the ones to use them. For those who did not pay the AHSUM fee, the fee for the food is $2. Those from other faculties should be told to return at 4pm if there are leftovers. More information can be found in the EOT folder.

Services 

  • JOEY, Salama reported on new AHSUM stickers. President Hoang will purchase the circle stickers.
  • Director, Akkerman reported on the sweaters. Sweaters from the W Store will each cost $35 and will be shipped to us without any charges. Sweaters from Embroidery will each be $25 although not likely to be very high quality. President, Hoang should be CCed on further emails regarding the sweaters and forwarded past emails regarding formal quotes.

Equity, diversity, and inclusion (EDI) 

  • No updates from Director, Jeyaganesha.

Public Health

  • Rep, Dong reported on the SPHS Council Meeting this Friday, where the prof research document project could be mentioned in the future.
