President, Hoang called the meeting to order at 5:09 p.m.

Reports of Officers

President

President, Hoang reported about the bonfire event. The bonfire on the BMH Green made the event more accessible to Health students. Using the barbecues was a safer process than the firepit. It is important for future events to try and get promotions out a week before the event to yield greater turnout. AHSUM ran out of celebration cookies quickly. AHSUM didn’t factor in playing music at the event and needed to adapt. For future events, AHSUM will try to consider the smaller details of events more. AHSUM relies on all executive team members to be present at events. In future, the team will be relying on an event guide form. 

President, Hoang reported that the Dean’s Lunch needs to be moved to a different date.  Executive members should submit their availability as soon as possible so that a new date can be selected.

President, Hoang will be sending details to Director, Khan regarding details to include in the post to recruit people for the Grad Formal Committee. VP, DeSouza and VP, Mistry will be representatives on the committee. 

President, Hoang reported that today is the last day for joey/councillor program applications. Interviews will be held by Directors for the Joey candidates. No one has applied for RLS Councillor currently. Joeys and Councillors will be a good addition to support the AHSUM team.. 

President, Hoang reported that AHSUM by-election nominations close today. Voting begins October 1. 

President, Hoang reported that executive members should make sure to complete office logs when they have office hours shifts. VP, DeSouza drafted this week’s logs already. In the office, make sure to keep the office door open so that AHSUM can continue to provide good service to our students. Executive members should put up a sign on the door if they need to leave temporarily. If executive memebers hear negative comments in the lounge, they should speak up about it if possible so that the lounge can remain a safe and comfortable place for everyone. 

VP of Internal Affairs

VP, DeSouza reported that she has receipts to submit for reimbursement. 

VP of Education

VP,  Mistry sent out an email to course instructors containing a whentomeet. So far, VP, Mistry has received about 20 responses. The deadline to submit responses is next Monday. Based on current responses, a Tuesday or Thursday between 2:00 p.m. - 5:00 p.m. seems like the best time to host the event. The event would take place the week of November 6. VP, Mistry will discuss more details about the event after reading week. VP, Mistry is currently not looking for extra support on completing action items for this event. 

VP, Mistry reported that she is working with the program representatives to update exam banks and gather a list of clubs related to Health programs. 

VP, Mistry reported that AHSUM is planning to serve hot chocolate and marshmallows in the lounge for free. AHSUM can promote this with a quick story post but not an official post so that the lounge does not overcrowd. AHSUM will also be encouraging people to bring their own mug. 

President, Hoang reported that the LinkedIn Headshots event is next week on October 4. The promotions went out today. All slots have been booked up. The event is from 11:15 a.m. - 3:30 p.m. President, Hoang is available after 1:00 p.m. to help support the event and is looking for other members to help support as well.

VP of Finance

VP, Sekhon reported that AHSUM needs to spend more of our budget. There is a sizable budget to get new things in the lounge.VP, Sekhon did not get a response from Karl. VP, Sekhon should forward receipts to Karl going forward. 

Directors

Director, Hassan will work with President Hoang on creating a big physical event calendar in the lounge. 

Director, Khan reported a reminder that she needs at least a week before promo goes up, though 2 weeks would be most ideal. 

Director, Munasinghe reported that there are a lot of first years that don’t know about the snacks that AHSUM sells. AHSUM is updating the physical menu board. Students are wondering if there will be new sweater designs. There is no current timeline for when AHSUM will be getting new sweaters. AHSUM will need to do a vote on sweater designs that were submitted during the spring term. AHSUM should aim to have this post up before the next meeting (will be done in collaboration with Director, Hussan). AHSUM could do a flash sale for the old sweaters. VP, DeSouza will arrange getting a new AHSUM stamp. Stamps start at $14.00 via Vista Print.

Director, George reported about the Therapy Dogs. Director, George will need the contact information that AHSUM previously used to move forward with the planning details. Mystery Buses would cost $900 for each bus there and back. AHSUM will have to determine how much money can come from the budget and and how much will be covered by ticket sales. AHSUM should have mystery bus clues up on social media around next week. Director, George will brainstorm hints. Once the event is approved, Director, George will communicate with the bus company. 

Representatives

Representative, Zohdy reported that HLTH 245 is now being offered to health students in their 1B term. There was a lot of feedback from a survey that went out to graduating students that resulted in changes. HLTH 442 could potentially have a lab component in the future. The pre-clinical specialization will be changing in Fall 2025, due to the Faculty of Science changing some programs. There may be more clinical elements included in Health Sciences. HLTH 335 may become mandatory for BPH since students need a good statistics background if they are doing grad school (was just discussed). OUF and Fall Open House is coming up and they want a lot of staff members present.
