Additional Services (Client Responsibility)
All additional services must be arranged directly by the client with the appropriate departments. These services are not automatically booked through this form and may involve additional costs.
Additional services include:
- Food Services
- Plant Operations Custodial Services
- Campus Police
- Other applicable departments
Event restrictions at the University of Waterloo:
- No pets
- No physical games
- No unauthorized signage
Submission timelines & Approval:
- Internal clients: submit at least 3 days before the event
- External clients: submit at least 10 days before the event
Requests are typically processed within 1-2 business days.

Room Care & Clean-Up Responsibilities:
Rooms booked for events must be left clean and tidy after use. Clients are responsible for:
- Removing personal items, food, and debris from tables and surfaces
- Returning chairs and tables to their proper position
- Placing garbage in bins (request additional garbage bags in advance, if needed)
- Erasing or wiping down chalkboards/blackboards
Please document and report any issues with the condition of the room upon arrival.
Custodial Services for Events with Food:
For events serving food with more than 20 attendees, a billable custodial work request is required.
A minimum of one week's notice is required when submitting custodial work requests.
