Change to Teams Chat data retention period

Postponed: The Teams data retention policy changes announced January 9, 2023, are being postponed. The new implementation date will be communicated once confirmed.


What is happening? A one-year retention policy will be implemented for Microsoft Teams Chats (i.e., private 1:1 chats, group chat messages). Posts to a Channel and other Teams data will not be impacted.

When will this change be implemented? Monday, January 30, 2023.

What is the impact?

  • Messages from private 1:1 chats, group chats, meeting chats, and chat messages with yourself will be deleted one year after the message is sent or received and will not be recoverable.
    • For example, all chat messages sent or received on or before January 30, 2022, will be deleted and will be unrecoverable. All chats will be deleted on a rolling one-year basis thereafter.
  • An automatically generated message stating "We've deleted older messages due to your organization's retention policy" will appear at the top of chat windows as older chats are deleted.

Why is this happening? The implementation of this retention policy aligns with recommendations from University Records Management and adheres to Policy 46 - Information Management requirements.
