Nature and Scope:
The University of Waterloo welcomes approximately 1200 international undergraduate students each Fall. The International Experience Centre is recruiting three senior undergraduate or graduate students to assist with the planning and execution of several programs that support international students in their transition to life in Canada and Waterloo. This will include supporting Airport Pick-up, International Orientation, Waterloo Ready, and other programs.
International Orientation Leaders must exhibit strong leadership skills and have experience leading others. They must have a desire and passion for helping first-year international students and English Language Learners and must be aware of the needs of these students. They must be positive role models both personally and academically.
Responsibilities:

Event Planning

Assist with the planning and execution of various webinars throughout the Spring term in collaboration with Webinar Hosts

Work with supervisor, Webinar Hosts, and volunteers to ensure that there is adequate staffing at all events
International Orientation

Student Volunteer Management
-
Support the development and delivery of volunteer training
-
Maintain consistent and appropriate levels of communication with student volunteers to ensure ongoing engagement and accountability
-
Oversee the delegation of volunteer tasks and serve as a direct support during programming/event days

Event Support
-
Provide event support throughout International Orientation; oversee volunteers for all tasks including set-up, takedown, people management, customer service, etc.

Welcome and settlement support for students and their families arriving before and after official check-in times
-
Check-in student and staff volunteers, hand out tee-shirts and event supplies
-
Manage incoming inquiries from students, volunteers, and staff during events
-
Documentation and Administration
-
Manage lists and administration of all volunteer activities: training, attendance/participation, program volunteer shifts/scheduling, dietary and accessibility needs, etc.

Where necessary, support pre-program logistics and preparations (gathering event materials, room bookings, signage, etc.)

Administrative Tasks

Attend all required commitments including training sessions, team meetings, and one on one meetings with the supervisor

Collecting and submitting hours for student volunteers, compiling feedback after events, promptly responding to emails, etc.
Other

Assist with the recruitment, training, management, support and recognition of student volunteers

Assist with day-of logistics and preparations for various programs and events

Provide event support for programs including set-up/take-down, day-of logistics, people management, customer service, and support for early arriving participants

Develop and contribute to program documentation and other pre- and post-program administrative tasks
Qualifications:
-
Experienced student leader with a strong knowledge of the University of Waterloo campus, faculties, services, and resources

Knowledge of the first-year international student experience; awareness of the needs of first-year international students and English Language Learners

Experience in event management and execution

Strong organizational skills and capable of managing multiple demands with accuracy and attention to detail
-
Excellent problem-solving skills and good judgement; ability to think on your feet and navigate difficult discussions/situations with diplomacy and tact
-
Excellent interpersonal and communication skills including public speaking, active listening, and presentation skills
-
Ability to approach cross-cultural communication and inter-group dynamics of diverse individuals with sensitivity and respect
-
Experience using the Microsoft Office suite (specifically Microsoft Word, Excel, and PowerPoint)
-
Registered as a full or part-time (including co-op) student in good academic standing at the time of hire

Skill and ability to communicate in an additional language is an asset
-
Experience participating in international or cross-cultural living and learning opportunities is an asset
-
Valid Emergency First Aid and CPR certification is an asset
-
Participation in prior Airport Pick-up, International Orientation, and International Peer Community programs is an asset
