A project always has some uncertainty that can impact a project’s objectives and outcomes, should problems occur. At the University of Waterloo, we have a University Risk Management program (URM) which has some key University risks identified and some good resources that you can use for managing the uncertainty. The presenters will make the case for project risk management, discuss where URM fits in, illustrate with some project examples from across the University and share resources. Come prepared to discuss your projects and how project risk management and the URM program does and can help.

Speaker bios: 
Alice Raynard is an Associate University Secretary in the Secretariat. She oversees the University Risk Management, Internal Audit and Statutory Compliance programs. Connie van Oostveen is a Sr. Project Manager in IST’s Project Management Office.

Project and Portfolio Management Community of Practice (PPM CoP) - May session

Continuing with our Agile theme from April, where Agile concepts were introduced, our May Project and Portfolio Community of Practice virtual session is a panel discussion with Agile practitioners from across campus facilitated by Tara Hillis from IST’s Project Management Office. As an attendee you will gain insight into Agile practices and learn about estimation, Agile teams, retrospectives and more.

Our guest panelists include:

Alexander Kelley --I work with the student association on campus as Marketing Manger. My background is in design and marketing & I am an avid reader and love business and marketing books. Hacking Marketing caught my eye and I thought it was about improving campaigns effectiveness; turns out it was about borrowing ideas from the Agile software world and applying to Marketing departments. I was recently promoted to Marketing Manager and pitched the idea to my director—it looked like it would solve all of our issues that we’ve been having connecting with students so we are currently giving it our best shot. (Note: Alexander’s participation will be pre-recorded.)

Yasemin Ozderya is a Project Coordinator within Campus Housing. She serves as a Scrum Master to two of the six Scrum Teams within the department. Although new to her role and “being Agile”, she is taking an active role in supporting and educating Campus Housing on Agile values with their adoption of Agile/Scrum. She’s learned to successfully position herself as a point of clarity, direction, and energy within a project; connecting and improving communication between the 'work' with the 'people'.

Joe Kwan has over 20 years of experience in the web and software development industry, and is currently the Manager, Web Development in Information Systems and Technology (IST) where he oversees development of both the WCMS and Portal. Joe has been with the university for six years, and prior to his role in IST, was the Manager, User Experience and Information Architecture in University Relations. Joe has also participated in various Scrum team roles throughout his career ranging from developer to product owner.

Diana Timmermans started at the University of Waterloo in 2016 and is currently in the School of Computer Science managing the School’s renovation projects. She is also the Project Manager on Computer Science Computing Facility’s (CSCF) project to build a new storage system that will store all CS’s data.  Diana achieved her PMP in 2018 and is now working towards her MBA.  Throughout her career, she has overseen many projects and is active in the Project Management Institute (PMI) community in the professional development, education and certification areas. Prior to UW, she was a Program Manager at Western University. Diana loves bringing  individuals together and watching projects reach completion successfully. Outside of her work life she plays volleyball, hiking, running (anything outdoors) and spending time with her family.

Project and Portfolio Management Community of Practice (PPM CoP) - June session

This session will help attendees think about the what, why, how and when of estimating in projects.  In addition, we will go through many techniques and examples of different ways to estimate - both in waterfall and Agile approaches to project management.

Speaker bios: 

Stacey Mahoney – Information Systems Specialist, IST
Stacey has been a member of the Student Information Systems team in IST for the past 7 years and at Waterloo as an employee for 18. Over her years working at UWaterloo she has worked in Admissions, Student Awards, Pensions, HR Systems, Project Management Office and Student Systems. In the most recent years; Stacey has focused her education and her experiences in IT Project Management. Her successful experience as the Project Manager (2017-2018)  on the re-implementation of the Ontario Universities Application Centre load of data into QUEST was her first experience using a more agile approach and she has continued to use agile tools and approaches on all of the recent projects she has worked on.

Wendy Hague – Project Manager, IST
Wendy has extensive project management experience gained through working at a number of different organizations throughout her career. She obtained her PMP (Project Management Professional) designation in 2001.

In addition to managing projects, Wendy has experience implementing project management software, launching a Project Management Office, leading teams of project managers, developing project management methodologies, and overseeing a project portfolio.

Wendy has worked at the University of Waterloo for 7 years as a project manager in the PMO within IT. During this event, she will share her experience working with project teams to obtain work estimates.

Organizational and Human Development offers a series of workshops focused on adapting facilitation within a virtual environment. The Facilitation Fundamentals: Facilitating Effective Virtual Meetings will focus on how we can design and lead virtual meetings with confidence and ease. Virtual meetings can be challenging and has drastically changed the way we engage and collaborate within teams, on projects and across campus. This workshop will focus on how we can translate in-person facilitation techniques to a virtual meeting environment. We will demonstrate tools, techniques and core elements that will allow you to get the most from virtual meetings.

This panel session will explore how to successfully integrate lean, project and change management to achieve successful business outcomes.
 

About this Event

There is an abundance of information on how to integrate change management and project management, or lean and project management but little information on how to integrate all three.

This panel session facilitated by Kimberley Snage, Director HR Projects, Technology & Analytics, Pam Fluttert, Manager, Project Management Office and Samantha Murray, Change Management Advisor from the University of Waterloo in Waterloo, Ontario Canada will discuss how to successfully integrate these management frameworks.

Participants can expect to hear about:

  • How the University of Waterloo has integrated change management (CM), process improvement (lean) and project management to achieve successful transformational business results
  • The benefits of an integrated CM, Lean, and PM framework within the higher education sector
  • The value of planning a project/initiative through the 3 lenses simultaneously
  • How a shared objective leads to more successful outputs
  • Common bodies of knowledge within Lean, CM, and PM

In our projects, our personal lives and in all aspects of work, we have goals. Creating time to achieve those goals is often difficult, especially at this time when our daily work and personal routines have been so disrupted and complicated by the COVID-19 pandemic.

We are excited to have a guest speaker, Ogaga Johnson. Ogaga will go through an example, and will provide effective techniques – from project & portfolio management - used to achieve a goal. Please note, we are beginning the session one ½ hour earlier than usual.

The presentation will cover the ‘nuts and bolts’ of how project management planning was used to implement the Accuro/Medeo system for Campus Wellness. We’ll take a look at the project background, the product overview, planning stages and tools and finally lessons learned. Governance structure, planning documents and knowing where the emphasis is for your project constraints all contribute to a successful game plan for managing the project.
