Daily Bulletin submission guidelines

What does the Daily Bulletin publish? 

The Daily Bulletin provides interesting news to the University community, keeping audiences in the know about initiatives, events, announcements, and other important information about what’s happening around campus.   

General categories

  • Articles written by the editor or members of the Internal and Leadership Communications team 

  • Articles written by members of the Waterloo community 

  • This includes new articles or amplification of articles already published on other Waterloo web pages (e.g. Waterloo News) 

  • When and Where listings to feature upcoming events 

  • Positions available on behalf of Human Resources every Wednesday  

  • Service interruptions on behalf of Plant Operations 

  • PhD oral defences, published periodically 

Not included in the Daily Bulletin 

  • Commercial advertising 

  • Long texts reproduced word-for-word (though excerpts and quotes that retain the flavour of the original may be posted) 

  • Announcements that will only be of interest to a few people 

  • Community events, unless there is a significant and tangible connection to the University (via sponsorship, partnership, or other collaboration)

General guidelines and how to submit 

Submission timelines 

  • If you’d like to request writing or editing services, please submit your article request two weeks before the desired publication date. This provides adequate time for the development, review, and approval of content 

  • For all other requests, please submit one week in advance of the desired publication date  

  • For When and Where listings, please submit your requested duration for publication (e.g. two weeks in advance of the event). Given space constraints, it will be at the editor’s discretion how long an event listing will run 

  • If your request is urgent, please indicate that in the appropriate request form   

Articles 

Articles can be submitted through the Daily Bulletin intake form.  

For questions about the submission process, to request amplification of an already published article, or to coordinate writing and editing, etc. with the editor, please email bulletin@uwaterloo.ca. The editor requires two weeks’ notice to ensure we can accommodate the desired publication date. 

  • Articles written by members of the community:  

  • Feature articles should be between 250 – 500 words maximum; anything smaller can be included in a compendium of notes   

  • If you would like the article to have a byline, please ensure that the author’s name is included in the article submission so proper credit can be given   

  • Where relevant, please include a link to the original content  

  • Photography  

  • A minimum of one image (and a maximum of 3) is required for each feature article 

  • Landscape photos are required for headline photos (main article image) and portrait style for in set photos  

  • We accept png, gif, and jpg (jpeg)  

  • Photos should be a maximum size of 1500 pixels wide   

  • Photos used in the body of an article will be resized at the editor’s discretion 

  • Photos are most useful if they are accompanied by a short text, to be used as a cutline, that describes the photo. The cutline should double as alt text. 

  • Please include the photographer’s name if and where applicable   

  • Article amplification 

  • In most cases, an excerpt of the previously published material will be included with a link back to the source for further reading. 

  • Please ensure that the original author’s name is included in the submission so proper credit can be given. 

When and Where listings 

When and where listings can be submitted through theDaily Bulletin When and Where intake form.  

The primary place to announce activities (meetings, lectures, performances) happening at the University is through the Waterloo Events calendar. The Daily Bulletin can also amplify campus events. 

We require the following information: event name, day of the week, month, datetime, and location. Include a link where relevant. 

Please submit the requested duration for it to appear in the Daily Bulletin (e.g., two weeks in advance of the event). Given space constraints and the number of requests submitted it will be at the editor’s discretion how long an event listing will run.  

PhD oral defences 

PhD oral defence listings can be submitted through the Daily Bulletin PhD oral defences intake form.  

The Daily Bulletin posts oral defence announcements periodically, usually four announcements at a time.
