Enabling pronouns in Microsoft Teams and Outlook on the Web

As of June 2, 2025, University of Waterloo students and employees can now add pronouns (e.g., she/her, he/him, they/them) to their Microsoft 365 profile card—the card that appears when you hover over your name or profile photo in Microsoft apps.

Note: It may take up to 24 hours for pronouns to appear after they’re added.

Where pronouns will be visible

  • Microsoft Teams
  • Outlook on the Web

Pronouns are only visible to members of the University of Waterloo community. They are not shared externally and are not synced with other University systems.

Key information

  • Optional: Sharing pronouns is entirely up to you.
  • Customizable: Choose from defaults or enter your own (up to 60 characters).
  • Change anytime: Pronouns can be added, edited, or removed at any time.
  • Respect required: Do not assign pronouns to others. Use is governed by University policies such as Policy 33 – Ethical Behaviour and Policy 71 – Student Discipline.

Reporting misuse

Misuse of this feature—such as mocking, repeated misgendering, or altering someone’s pronouns against their wishes—can be reported through the Equity, Diversity, Inclusion & Anti-Racism (EDI-R) advocate tool
