IT Advisory Board meeting - January 2019

1. Recap from last term

  • Introduction to IT Advisory Board, the past accomplishments, and what to expect for the term

2. We asked our group to let us know what IST is already doing a good job of:

  • Wi-Fi is generally good
  • IST Service Desks have great email support
  • Work is neat and tidy (no exposed wires)
  • New Cyber Security website is really good, IST should continue to advertise this
  • It is good that student wifi is seperate from public wifi
  • IST is good about communicating changes well in advance
  • Projectors / AV equipment is in good condition
  • Lynda.com is a great resource and is very valuable (around half of the attendees had taken advantage of it)
  • Portal hackathon
  • Eduroam is great

3. Where can IST improve?

  • Introduce wireless printing (*this service is availiable via uPrint)
  • Campus wide licensing for software that students are required to buy
  • Better Portal app for Android (this is in progress)
  • Training for faculty who need to use projectors
  • TopHat, Reef, etc...we have to pay for these, and are sometimes spending 100-200 per term on these. It would be nice to just use iclickers and Learn
  • Integrations should be implemented to improve Quest and Learn
  • Portal app does not show info for grad students, exam / class schedule doesn't show up
  • Students should be able to subscribe to notifications for upcoming important due dates to email, learn, or portal
  • IST could add wi-fi underground, in tunnels, and on paths from residence to main campus
    • Students suggested that this was a 10/10 in terms of importance
  • WaterlooWorks doesn't allow you to search by location AND role, just one or the other
  • Better structure for LEADS webite / improvement management (currently, expired jobs look like active jobs)
  • Would be great if there was a record / library of lectures availiable for students to watch, or transcripts to read
  • Problems from students are handled through tickets / emails, and the results are private. It would be good if IST had a public platfom to provide help 

4. Ideas for Small Wins

  • Promote IST on orientation day
  • Software and licensing details on one webpage
  • Smart space for every student (good place to promote IST)
  • Instruction guides for podiums, especially in the new classrooms (This is an ongoing point of frustration for students)
  • Mandatory TA training
  • Freebies to students to promote IST (stickers, keychains)
  • Welcome email to new students outlining services
  • Prizes to incentivize filling out surveys ($10 prize is enough, but there should be lots of possible prizes)
  • Hold problem solving contests to solve IST problems
  • IST staff at club day
  • Laptop / phone stickers / wallpapers for phones
  • T-shirt giveaways
  • IST instagram account: Review/  show off new systems, highlight something each week
  • IST staff of the week to highlight work indviduals are doing
  • ML / NLP software to help make lectures more accessible (provide text in real time) so that students can read along while the prof is speaking. IBM watson was suggested, Microsoft Stream may work too
  • Send email of important info to incoming students
