TERMS AND CONDITIONS:

Room Access:
The ECE front desk is open from 8:30 a.m. to 12:00 p.m. and 1:00 to 4:30 p.m. If you require room keys, please plan to pick them up from EIT-3033B 30 minutes before your booking. For bookings during the lunch hour or outside regular hours, kindly arrange to collect the keys in advance.

Room Availability Disclaimer:
Submission of this form does not guarantee the availability of your requested room. While we will make every effort to accommodate your preferences, room assignments are subject to availability. If your selected room is unavailable, we will do our best to provide a suitable alternative that meets your needs.

Technology:
Technology usage is the organizer’s responsibility. Tech support is limited, and there is no on-site or on-call assistance. If you choose to use the A/V equipment, please ensure it is powered off before leaving the room.

Meeting Supplies:
Please bring any materials or supplies you may need for your meeting, such as clipboards, markers, or notepads, as the ECE office is not able to provide these items.

Furniture:
You’re welcome to rearrange the furniture to suit your meeting, but we ask that the room be returned to its original layout. A floor plan is posted on the wall near the door to assist you. This includes tucking in chairs, returning tables and garbage cans to their places, turning off tech, locking the doors, and switching off the lights. Setup and cleanup are the organizer’s responsibility.

Food:
Food is welcome during your meeting. If you plan to serve food, please bring all necessary items, such as serving ware, dishes, and linens. We recommend adding 30 minutes before and after your meeting time for setup and cleanup. Don’t forget to wipe down surfaces and dispose of waste and recycling appropriately after your event.

Please Note:
Occasionally, ECE operational needs may require us to make changes to bookings on short notice. We appreciate your understanding and will provide as much advance notice as possible should this occur.

If you need help with the blinds or window coverings, please ask the ECE front desk staff for assistance.
