The University’s official records are now primarily in electronic form, managed in the University’s on-premises and cloud-based information systems. There are, however, a few University activities creating or receiving paper-based records that must be retained as official records for the time periods specified in the University records retention schedules.
University offices experiencing a shortage of storage space for such paper records may be able to move them to commercial storage with the records storage provider, Iron Mountain, after they are no longer needed for current work and until the end of their retention period. This service is also available to researchers and research centres with paper-based research data or research administration records that must be retained for extended periods of time.
Please note that units are responsible for the cost of their storage and associated services provided by Iron Mountain, and that transitory records should not be sent to commercial storage.
