The recordkeeping guidelines for University committees have been updated.
The draft records retention schedule, AD10 - Program & Service Management, has been updated to provide guidance on managing records related to the COVID-19 pandemic that do not fall within the scope of a more specific records class.
University records retention schedules have been updated to match Police Services' name change to Special Constable Services.
The University records retention schedules now contain a note in the "Disposition" section of each retention schedule reminding units to document the disposal/destruction of records at the end of their retention period, using the records destruction form. See Section 5: Dispose of Records in the University records management manual for additional information.
The Offsite Commercial Records Storage page has been added, to inform staff of the University's account with the records storage provider, Iron Mountain.
ST40 - Diplomas & Certificates has been updated to remove an outdated reference to the Registrar's Office service of holding unclaimed diplomas for students who do not receive their diploma at convocation. There is no change to the retention of records.
The draft records retention schedule HS90 – Access Control & Monitoring has been updated to accommodate records created for purposes other than building security, such as those associated with the new Campus Check-In system.
IM60 – Information Collections Management has been revised to more clearly describe records of the management and use of collections of proprietary information, governed by contracts/agreements with owners of IP rights for the information.
All University records retention schedules have now been converted from Adobe Acrobat PDF files to regular web-pages, to facilitate accessibility and future updates.
Some obsolete wording and terminology in the retention schedules has been updated during this process, but there are no changes to the retention of records.
