ST65 - Student Files, Graduate and TL55 - Examination Papers and Course Assignments have been revised to clarify the classification of qualifying and comprehensive examination answer papers completed by Ph.D. students. There are no changes to the records retention periods.
University Records Management in 5 Steps has been updated, to clarify the wording of some sections. In particular, the information confidentiality classification of transitory records and associated security requirements are more clearly described.
TL80 - Examination Schedules and TL82 - Schedule of Classes have been revised to more clearly describe the official records in these classes. There is no change to the retention of records.
A draft records retention schedule for University and administrative unit budgets, FN40 - Budgets has been uploaded for review by the University community.
HS62 - Workplace Safety and Insurance Administration has been updated to reflect changes to WSIB experience rating programs and to correctly identify the information steward for the records. There is no change to the retention of records.
The references to federal and provincial regulations have been updated in HS17 - Hazardous Waste Disposal, HS32 - Laser Permits, HS35 - Radiation Dosimetry Reports, and HS39 - X-Ray Permits. There are no changes to the retention of records.
The wording of some sections of ST65 - Student Files, Graduate and ST68 - Student Files, Undergraduate has been revised to more closely match the definition of "student information" in Policy 46 - Information Management. There is no change to the records retention periods.
The draft lists of records classes in the Campus Services (CS), University Relations & Advancement (UR), Information Management & Technology (IM), and Property & Facilities (PF) sections have been updated. Draft retention schedules for these records classes will be uploaded when they are ready for review by the University community.
The records destruction form instructions have been updated to clarify the required retention period for completed destruction forms, as described in the Dispose of Records section of the University Records Management manual.
The AD05 – Program & Service Management and AD15 - Office Management & Support draft retention schedules have been updated. The AD18 - Inquiries & Requests for Information draft schedule has been removed from the website, and its content has been incorporated into the revised AD15 retention schedule.
