Content & Scope

The University is licensed to possess and use nuclear substances and radiation devices under a consolidated licence issued by the Canadian Nuclear Safety Commission. Control of radioactive substances is maintained through an internal permit system.

This records class excludes dosimetry records for individual workers, records related to radiation monitoring, records related to training of individual workers maintained in the human resources management system, and records related to x-ray sources.

The records include applications for radioisotope permits, permits, decommissioning records, and worker registration and training records.

Retention

  • Records related to worker registration and training: 3 years after termination of work under the permit.
  • All other records: Permanent.

Note: The Canadian Nuclear Safety Commission must be advised at least 90 days in advance of the disposal of any records related to the University's consolidated licence.

Secure Destruction.

Note

Responsible Units should document the disposal/destruction of official records using the University records destruction form or equivalent documentation, to verify that we are following our records retention rules.

Retention Rationale

The retention periods are based on SOR/2000-207: Nuclear Substances and Radiation Devices Regulations, s. 36 (2) which requires that worker training records be retained for "three years after the termination of employment of the worker" and the Limitations Act, 2002, s.17 under which" there is no limitation period in respect of an environmental claim that has not been discovered."
