Automatic inactive user pruning coming soon

Wednesday, October 2, 2024

Starting with the 3.2.23 release of the WCMS (currently estimated to start rolling out early next week), the system will begin automatically removing accounts of users who have not logged in for over a year.

The exception to this is users with site-related roles. While they can still be manually removed, users with any of these roles will never be automatically removed:

  • Site owner
  • Site manager
  • Content editor
  • Content author
  • Form editor
  • Form results access
  • Legacy (a special role with only one purpose, to prevent a user who does not have other site roles from being automatically removed)

This will reduce the number of users that exist on a site simply because they have logged into an authentication-required site or to fill in an authentication-required form, along with users that have had site roles at one time but no longer do.

Any content or form submissions from removed users would be transferred to “anonymous” (noting that the WCMS should not be used as a records-keeping service, so form results should not be left indefinitely).

Please review our how-to documentation on exporting/downloading web form submission results or contact WCMS support via the WCMS help portal if you need assistance with managing your web form submissions.

The system will continue to check on an ongoing basis, and remove users meeting the criteria after their deadline date.
