Due Dates

The term due date is in the month before the start of each term

Due dates are posted here a year in advance to allow you and your family to plan ahead to make your payments on time. You are responsible for ensuring that your registration status on Quest is Fees Arranged by the term due date.  

Payments and Promissory Notes received after the term due date will result in a Fees Arranged Extension Fee charged to your student account. Due dates are non-negotiable.  Extension fees will not be waived.  If there are no tuition charges on your student account until on or after the term due date, you will have 14 days to show as Fees Arranged on Quest without incurring a fees arranged extension fee.

Don't use the Promissory Note to submit proof of payment in full; we cannot process it.

We do not make exceptions for these or similar situations that may result in a fees arranged extension fee:
  • your most recent payment was not sufficient to cover both your prior term and current term outstanding balances.
  • someone else made the payment or completed the Promissory Note for you,
  • your payment was made on or before the due date but did not arrive on the due date,
  • you were not finished making changes to your program, course load or housing,
  • delays in other departments on campus that affected your account balance or your proof of funding,
  • you did not receive an email from Student Financial Services about the due date,
  • you did not have access to the internet at the due date,
  • you did not have access to your online banking at the due date,
  • you experienced delays in accessing personal financial resources,
  • you made a payment to the wrong institution or to the wrong department at UWaterloo,
  • your bank draft/money order did not arrive on time due to mailing delays,
  • you were given incorrect information by another department on campus,
  • you assumed or believed that you had already completed your payment in full or Promissory Note for the term,
  • you misunderstood the instructions in our emails and on our website regarding how to become Fees Arranged for the term,
  • you did not receive proof of financial aid to support your Promissory Note, by the due date,
  • you were confused, distracted, preoccupied, or otherwise unaware of the due date until it had passed.

Fees Arranged Extension Fees

(Formerly called Late Fees prior to Fall 2022)

Payments must be made in sufficient time to arrive on your account on or before the due date!

Changes to your account after the due date

If you make changes to your student account after the due date that result in a balance owing, please pay the additional charges as soon as possible to avoid a Fees Owing hold that will restrict your access to view grades, enrol in courses and order transcripts.

Changes to your student account after the due date that result in an overpayment on your student account will trigger a refund to you during our term refunding process.

Fees posted after the due date for the term

If no tuition fees are posted to your student account until after the due date for the term, your registration status on Quest must be Fees Arranged within 14 calendar days from the date the first fee was posted to avoid a fees arranged extension fee.

There are "deadlines" to request a refund for:

Dropping a course may or may not result in a refund depending on when the course is dropped and your course load before and after the drop; please contact Student Financial Services if you need clarification before dropping a course.

Fees Arranged deadlines

Undergraduate Students:

If you do not have the registered status "Fees Arranged" for the term by the course add deadline each term, a Not Fees Arranged (NFA) hold will automatically be applied to your student account. The hold will restrict your access to

  • receive any scholarships/bursaries for which you have qualified.
  • receive any government student loan funding for which you have qualified, eg. OSAP.
  • be enrolled in the University Health Insurance Plan (international students only) or the supplementary health, dental and legal service plans administered by Studentcare
  • course selection
  • course enrolment
  • view grades on Quest
  • transcripts
  • graduation
Graduate Students:

If you do not have the registered status "Fees Arranged" for the term by the UG course add deadline each term, a Not Fees Arranged (NFA) hold will automatically be applied to your student account
You will be unenrolled from any courses you are enrolled in for the term if you are not "Fees Arranged" status by the 100% refund deadline.

The NFA hold will restrict your access to

  • any scholarships/bursaries for which you have qualified.
  • any government student loan funding for which you have qualified, eg. OSAP.
  • be enrolled in the University Health Insurance Plan (international students only) or the supplementary health, dental and legal service plans administered by Studentcare
  • view grades on Quest
  • transcripts
  • graduation

You will be withdrawn from your program shortly after these dates, if you are still not Fees Arranged:

  • November 1 for Fall term
  • February 1 for Winter term
  • July 1 for Spring term

To become Fees Arranged after these dates your late registration must be approved by the Graduate Studies & Postdoctoral Affairs Office.
