Minutes of the Arts Computing Department meeting held on February 28, 2019

    • Winter 2019 online course evaluations all set up. Of the 632 set up, we have received paper requests for 22 (approximately 3.5%). Paper request deadline is March 8th, so there may be more yet.
    • Ongoing finance / budget work being done for March 2019-2020 fiscal talks.
  • Bill B.
    • CTSC Meeting updates:
      • Grouper has progressed; Sean Mason indicates has two main CAMPUS Feeds (HR & Quest). Once he returns we will discuss what data is provided from those two "read only" feeds. Can create role definitions within Grouper. Use either Campus Feeds (HR & Quest) or management defined groups (ASUs & Academic groups) to control access to systems. Complex logic isn't an option within Grouper, however data (thru defined groups) can be access via the Grouper API. Updates Nexus (every minute) and SailPoint IQ (~ 6 minutes)
      • Adobe Acrobat Pro changes to subscription based licenses in March 2020; IST has purchased extra licenses in anticipation of higher demand of current licenses.
      • Implementing the guest login features, will update campus
      • New ISP OpenFace provides 10 Gbps (still have ORION 10 Gbps as well).
      • MathSOC has suggested they want to move their services to Google. This  has some serious challenges (students want the current UW IP address to point to Google)
    • Plant Ops is following up on WR# 39258 to upgrade/replace the PDU in PAS 1099A.This WR was submitted back in December 2016 but was stalled as no key could be found to access the unit. Not sure it is worth the $10K+ to upgrade when we're reducing the server load in server room.
    • Requests have been sent to the Department Admins for Special Requests for computers/electronic equipment for the new fiscal year. Only a few requests have been submitted for review. We used the newly created ACO.Director & ACO-Admin USERIDS.
    • WorkDay updates:
      • Sherry looking into how to properly setup Work Placement Co-op students in system.
      • Looking into how to change an incorrectly submitted vacation day (doesn't seem to easy).
      • Talking to Workday about staff dual reporting (e.g. can both submit hours for pay).
    • Target is to have all draft Performance Appraisals to Robert for review by end of today. Kathryn has set submission date end of this week.
  • David
    • Two more hot spares were added to prepare for the Windows 10 migrations that should be happening soon (now have 5 hot spares).
    • All newsletters are finished up to the second draft and are available in the Spring 2019 folder on SharePoint.
    • Working on ACO Events app.
  • Kayle
    • Been editing the last of the newsletter articles as they get uploaded to SharePoint.
    • Attended WCMS - Creating Accessible documents course (SEW106) on February 27th.
    • Also attended SLP course: Personality Dimensions on February 27th.
    • Started working on Scinage tutorial videos.
    • Working on 10 or 11 slides History digital scinage outside their office.
  • Wesley
    • Completed drafts for all three newsletter and they have been uploaded to Sharepoint (adding images).
    • Will be working on the ACO Events app project.
    • After certificate update/WiFi migration for eduroam, we have had a few people coming in with issues with internet connectivity. Reconnecting network often resolves the problem. (Keith – noticed some WLU students & mylaurier, only one work on UW campus. Sean did a uwaterloo search).
    • 3 minute thesis in HH.
  • Keith
    • SharePoint Notebook now in place on the ACO SharePoint site (upper left corner). Let me know of any errors or additional material you'd like added.
    • Balsillie School WLU graduate students are an issue with courses taught in LEARN.
      • Combined with both WLU & UW course (a joint course). They would need a UW credentials to use LEARN (a form they need to fill out). They are then added to WatIAM. Unfortunately, lots of steps and if only one missed it breaks. Short-term fix is sponsor a userid for the student.
    • Recovering MacBook Air power chargers.
      • When MacBook Air returned, very few with chargers; might need to order MAG to MAG2 adaptors.
    • Econserv firewall updated with the new wireless subnets.
  • Herbert
    • Working on ACO Events app, suggest combining it with the meeting agenda app. This would reduce login from two to one system for both services.
    • Finish new permission system for OFAS3.
      • Scott: will you need Kayle to setup documentation? Not yet
    • Assisted Katja Czarnecki and David Rozotto in setting up their shared mailboxes.
    • Setup shared mailbox for Dinghai Xu (econ) for Graduate Advising.
  • Sean
    • Backups of old accounts on watarts, artsresearch and artsweb are on arts_research$ share if needed.
    • Sent dump of Kinema site to Library. They will move content into OJS (Open Journal System) they run.
    • Mirgrated artsweb, artsresearch, watarts, artsadmin, artsfinemdid3 to EC2.
    • Updated firewall on artsweb, artsresearch and watarts to allow new Eduroam subnets access via ssh.
    • Ubuntu 14.04 will reach EOL on April 30, 2019; arts-ofas and cantus only 2 machines left running 14.04 that need to be upgraded.
    • Produced evaluation statistics for DRAMA and ANTH to use with their academic program review.
    • Updated Chrome, Firefox, Thunderbird, Flash, Dropbox and Office 2016 for the Macs.
    • Drupal patches. Nasty Drupal 8 bug, but we are still all Drupal 7 though the link module had similar vulnerability that I patched for our Drupal sites.
    • Fixed authcas not working on non-ssl connections to watarts.
    • Updated faculty ratings in the faculty database for the Deans office.
    • Drupal 7 EOL is now announced. Drupal 7 will reach end-of-life in November of 2021

    • Working on Windows 10 implementation in SWORDC, updating SPSS licenses and windows update and McAffee issues.
    • Issues in Fine Arts with someone’s machine rebooting as soon as they logon traced back to reboot tool running once they wake it up from sleep. Sleep mode removed from keyboard and power options.
    • Starting to investigate known folder move and One Drive options as replacements for N: drive including test / generic accounts for One Drive.
    • Reset a few roaming profiles for Renison.
    • Updated Advanced Firewall GPO for Eduroam IP changes, Cygnus2 (N: drives) are now using Advanced Firewall.
  • Scott
    • SWORDC Workshop (SAS demo): request for SAS to be available to various courses. SAS looking into current license and whether that covers this new request. Not sure if IST will continue allowing the extra resources to be used post conference. Conference call ability coming.
      • Could be more interested in additional usage of the SAS.
    • New version of Vracrypt packaged for Psych to test (contains a 2 hotfixes).
    • Working on checklist of Win 7-10 upgrades. Still ~98 systems at W7. Email template created. Will be wiped and load (IST's upgrade package failed when tested). Extra hot spares are being created in case of failures.
      • Each spend a day with the client; first day to move and second day
      • Sean updated the locations and individuals
      • Excel sheets and CALMS updates
      • Have started name changes to role based
    • Email from Kieng (SAF) saying Tableau wasn't installed in HH-280, although it is. Awaiting a response to my email.
    • Antidote update pushed out.
    • Mid term evals for co-ops today.
  • Jameson (on training course)
    • Deployed replacement computer for Pat in SWORDC to fix free space issue on HDD. Also moved from Windows 7 to Windows 10.
    • Assisted Usman in HH280 with getting costs for their budget for possible replacement parts for the computers should they have any failures.
    • Had Artspythos set up to be able to manage ML 109 laptops and had Artsmercury removed.
    • Prepping locked down laptop for History Exam on Mar 4
    • [GI-IT]Investigating/working on getting Xerox Standard Accounting working with Ubuntu
    • [GI-IT]Working on Self-Serve Portal.
  • Todd
    • Loan of 25 headsets to English Department for a High School activity (Margaret Ulbrick).
    • Uncertainty about how Workday interacts with General Ledger for charges such as Int'l Work Study.
      • Working with Xing to be sure the 75% and 25% is correctly applied
    • Change in contact for St Jerome's Italian (Kerry Lappin-Fortin and/or Roberta Cauchi-Santoro).
