Minutes of the Arts Computing Department meeting held on July 26, 2018

    • Rollover systems now arriving (biggest one is the new SAF behavioral research lab )
    • Work order requested to remove glass panel on digital display
    • CTSC report
    • WorkDay User Acceptance testing going on now, Aug - prototype 3, Sept - parallel payroll testing, go live Jan 1st. Info at uwaterloo.ca/workday
    • Two-factor authentication will be required when attempting to access Workday off campus: Service desks could get a lot of calls from retirees not being able to properly use DUO to gain access; something to consider.
    • Blacklisting mediation - Message Rate Throttling, Daily Recipient Limits, Multi Factor Authentication for Outlook Web App, Office 365 Connector
    • Outbound Email Sanitization – Currently our inbound message route has two levels of message sanitization: SPAM Assassin and ClamAV on mxer, ProofPoint for SPAM and malware protection
    • New cert for MAT

    • Fixing issues with Scinage widgets
    • PocketNexus still down—update @ meeting- up and working now, fixed by Eric
    • Outlook autodiscover- last email: IST still investigating

    • Began imaging rollover computers
    • Made Scinage 3D text widget
    • Got chromebox to consistently display Scinage slideshow

    • Updating the ACO bulletin boards
    • Met with Jaime Phillips from Retail Services to talk about the new Print and Retail Solutions (can come to Lunch and Learn to answer questions)
    • Changing the display length of slides in the Arts Computing Office slideshow
    • Creating slides using Emily's widgets and letting her know my experience with them

    • Office 2016, flash, thunderbird, chrome, Firefox, s4b and dropbox updates pushed out for Macs.
    •  macOS 10.13.6 image created and added to deploystudio.
    • loaner iMac from stratford used by co-op student in advance office retrieved and sent back. Tested fusion drive deploy studio workflow on it (they have one SSD and one HDD installed in them and pre-dated 'fusion' drives) successfully.
    • Updated our vcenter to latest 6.5 release.
    • Attended WiFi Guest access discussion. Key points: guests will connect to uw-wifi-setup-no-encryption, accept AUP and go. Network will be considered external, no peer connections, ports limited to web/email/vpn, ultimately will replace netid, uw-event will still exist. Looking to rollout this fall.
    • No intrusion protection
    • Not planning on renaming network
    • Requires you to accept user policy every time
    • Blocking access to internal network- treated as external network

    • Trying to clean up RTs
    • Windows 10 1803 upgrade to Windows Advanced Upgrade Group started
    • One reported issue of lost start menu, one issue with multiple portrait monitors, RSAT tools need to be reinstalled
    • 1803 available to production August 8th - August 28th
    • Issues with portrait style monitor

    • Personal TaxPrep 2017, Corporate TaxPrep 2018 packaged and sent to IST (podiums), Eng (for Daniel to create a Tuque package)
    • 3 more systems converted to Win 10 at St Pauls (2 manually because the image failed via TS and a bad ethernet port on one system)
    • Carla Fehr port sorted out with Emily/IST. Mislabeled physical ports and ONA switches caused the issue.
    • Working on Cleaning up systems with failing deployments.

    • Packaged and updated Antidote to v 9.5.2.
    •  Re-imaged NUC in ACO Foyer to clean it up as it had issues with upgrading to Win 10 1803.
    • Bug fixes in Vanguard web app.
    • Working on processes for booking Skype meetings with our equipment.
    • Keith experiencing a delay in Vanguard/1803

    • Ran SCCM reports on Microsoft Patches
    • Found the Vanguard & Arts Lab ADR had a timing issue
    • Going to redeploy updates to make sure all systems are up to date
    • As of July 25th 68% update compliance
    • Installed PaperCut NG on ArtsPrint

    • Language Lab staffing
    • Arts Undergrad and French Studies ML 109 usage

    • Reviewing software that is no longer sold on the IST Webstore that still has active deployments. The most popular ones are Adobe Acrobat 2015 and Premiere Elements 13. Possible approaches could include things like leaving existing installs as unmanaged, preventing new installations, or removing old software.
    • New Workday system will not automatically hire all graduate students. Currently even graduate students in course-based programs who are not employed are still hired in the HR system. This affects anything that controls access based on the employee status.
    • Software we’re not selling anymore in IST webstore. What we should do when we clean it up
    • Adobe acrobat, premier elements 13- we need to look at what happens to that software, deployment people don’t want to keep multiple versions of that software
    • We need to figure out if the real requirement is employee vs grad student- access control needs to match that
    • Need an easier way to catch ‘grad student’ status
    • Automatic creation of connect account?
    • Need to be an employee to have a Connect account
    • Office 365- faculty/staff/grad students
    • Nexus group is supposed to distinguish if they’re grad student
    • VPN access lists both employee/grad students that have access
    • Needs faculty perspective about grad students and what they need access to
    • New VPN appliance- not fully configured
