Minutes of the Arts Computing Department meeting held on May 11, 2017

  • Sherry
    • Update of 2017 Faculty Rollover:
      • 11 Macs have already been ordered
      • Dell orders are on hold until models and pricing is finalized
      • Awaiting responses from 16 faculty on their choices
    • W17 Course Evaluations results were released on Tuesday, May 9th. Set up for files to be emailed took a bit of time, but the sending of the results went quickly.
  • Dawn
    • IST is setting up a new ACO-Job-Bank RT queue to add tasks to use for co-op small projects.
    • AHS is using Intel Unite for screen sharing for talks and meeting rooms. This may be a possible set up for the new language lab.
    • There will be a multiple day power outage in EV1 in August that will affect all of Arts due to campus network topology. Details and emergency planning to be determined by Plant Ops.

    • Re-reading the Survival Guide as a refresher.
    • Going over imaging for Macs and PC's, and Rollover procedures.
  • Ankita
    • Read through Survival Guide.
    • Decided on goals for the term.
    • Reimaged and set-up Fiona McAlister's computer.
    • Working with Ethan on reimaged Macs in the lab.
    • Assisted a number of undergrad students with email problems resulting from Office 365.
  • Jennifer
    • Read through Survival Guide, and have taken one WCMS course (SEW 099). Next WCMS course is on the 16th.
    • Familiarization with Camtasia.
    • Updating Bulletin Boards.
    • Going through the ACO Website for mailservices references.
    • Started brainstorming for the Newsletter articles.
  • Keith
    • Updated the Lord of the Rings Online program for Neil Randall on the ECH 1205 lab systems used for grad courses.
    • Updated the _course_fine_229 security group from the ClassList data in ECH 1205. Created the handout and Dropbox shares and the work directories on Adama to allow extra space to work on projects.
    • Email delivery to an Office 365 account was bouncing due to the license not being applied to the account. Situation corrected once license was added.
    • Added a network printer for Centre for Theoretical Neuroscience.
    • There was a login problem for new grad students in HH 280. In Accounting, half of the students are from Arts and half from Math. Math students are moved to Arts but were in the wrong OU. Once the accounts were moved to the correct OU, logins worked.
    • Renison was using ArtsCP for some network shares. That has been moved to IST’s FileD server. The Renison shared drive has been turned off here, freeing up space.
    • Moved CTNSRV mailing lists to Artsservices.
    • PAS 1098 lab install workflow has been set to Sierra. Image updated.
    • Updated the Systems and Disaster Recovery Workflow documents in Disaster Recovery Sharepoint folder with new systems and information.
    • Put Mac printer install package in folder ACO FileD share for use with Macs not managed through Munki.

    • Setup computer in HH 351 for Political Science. The network port was not connected to the switch, so Keith helped in getting the network connected and labelled.
    • Jennifer Simpson (DRAMA) installed local printer after upgrading to Windows 10.  Now scanner doesn’t work. Appears to be issues with compatibility with local devices with Windows 10.
    • CALMS update:
      • Pushed new accounting format to production.
      • Email notification is now sent to co-ops when an asset needs to be wiped.
      • Working on some of Marco’s issue tracker ideas for CALMS, such as providing more detailed history.
      • Created a feature request on GIT.
    • OFAS update:
      • Two job postings for SAF ended.
      • Assisted two applicants in sending their applications after the deadline, as a Canadian citizen or permanent resident needs to be accommodated after the deadline.
      • Improved event details on the events tab status now shows the actual status instead of the id.
    • Reimaging Mac for Grit Liebscher (GSS).

    • Configured Cogito3, setup Bacula and migrated Bacula clients from Cogito to Cogito3.
    • Further Course Approval application changes were requested by Julie Mulvey. Those have been implemented.
    • TA online evaluation results tabulated and sent to SPAN/FR.
    • Fixed issue with ECH lab machines that had been off for a while not enrolling in profile manager. Ultimately it was a server issue: restarting the service fixed it.
    • Updated Flash, Chrome, Firefox, Thunderbird, Skype for Business for Macs, and pushed out on Tuesday, May 9th.
    • Having issues with Deploy Studio joining machines to Nexus; Artsinstall account needed full control on the pre-existing AD objects. Changed those for the PAS lab and manually fixed the 2 un-joined machines.
  • Nevil
    • Engineering informed WNAG they had implemented a Nexus RODC about a year ago due to timeouts in their faculty. IST has now provisioned a read only domain controller.
    • SCCM reconfiguration complete, with Pithos supplementing Mercury as a distribution point. Work was completed on Wednesday, May 10th. This maintenance corrected a problem where PXE boot was not working.
    • Vanguard testing requested on Friday, May 12th for:
      • Adobe Flash Player 25.0.0.171
      • Mozilla Firefox 52.1.1 ESR
      • FileZilla Client 3.25.2
      • K-Lite 13.1.0
      • iTunes 12.6
      • PuTTY 6.9
      • WinSCP 5.9.5
    • Along with Jameson, working on Psychology issues with DirectRT and MediaLab where manual install of the packages is successful but installation is not working through SCCM.
    • Please create tickets for co-op project ideas in the upcoming ACO-Job-Bank RT queue.
    • Working in SWORDC getting Hyper-V set up. Reconfiguring server so it is no longer on VMware.
  • Jameson
    • Troubleshooting SCCM deployment of DirectRT for Psychology. Requesting additional help from Mike Cocker.
    • Have a working version of GetLocalArtsAdmin using cURL. Need to set up NXSArtsWS to use ASP/ASP.net and have code reviewed by Nevil before it goes into production.
    • Working on documentation on how to secure the Nxsartsws server as well as guidelines for writing secure code.
    • Chrome issue in French where Windows user profile may be a problem. Guy Poirier will be getting a new computer through the 2017 Faculty Rollover.
    • Updating Games Institute Win10 Image with Windows updates and updated pre-installed applications.
    • Created user accounts, moved computers and completed computer imaging in Games Institute.
  • Will
    • Webstore is now running with new Unit4 account number format. Working through a process for purchases through the Colleges. Will sit with Sherry to review the invoicing process.
    • Looking at workflows around rollover process to see how to handle software moves. Some software cannot be moved due to licensing restrictions. Working with IST license coordinator on organizing this information.
    • Requested a WCMS publications site for the ACO newsletter. This style is used for the Waterloo Magazine, and has a cleaner look which follows brand guidelines.
    • IST is seeing issues with Office 2016 crashing on Windows 10 machines. Problem is intermittent and seems to be related to saving credentials when the application is starting or updating setup. For certain people it crashes unless the application is opened in safe mode. IST has been troubleshooting the issues and investigation continues.

    • Creston system is complete in ML 117 and ML 101. Testing found an issue with the microphone, which has been replaced. Pan/tilt/zoom commands for the cameras are restored and everything is now working.
    • Candidate presentations to be held in ML 117 this week and next.
    • Have prepared 30 headsets for Michele Parrot (Renison ELI) to be delivered.
    • Went through first Unit4 payroll for lab staff on duty in ML 110 successfully.
    • Lab sessions for Spanish and French have begun. Remaining courses will be starting labs next week.
    • ML 113 is booked for FR 250 Fridays 10:30-11:20. Nicolas Hebbinckuys will be recording classes.
    • Working with Plant Ops designer on ML 109 LI lab around the CFI grant. Some questions about equipment placement and specifications have arisen.
