Minutes of the Arts Computing Department meeting held on October 12, 2017

  • Robert P.
    • Will be emailing staff that credit cards are not able to be used to purchase software from the IST Webstore.
  • Bill B.
    • IST Webstore continues to allow faculty to use credit cards for payment. This was reversed on Friday, October 6th. However, this may not last for long and there is some confusion with IST in engaging clients.
    • Stratford increase to 200Mbps is underway. It appears that IST had some concerns with the contract because once the contract is signed, it takes an additional 15 days to implement.
    • The UWSA Secondment-Plan was released on Wednesday October 11th, it has been formalized, and in place.
    • Keith is acting director in my absence for the year.
    • The ACO career path expects a 3-5 year period to move to next step.

    • Working on a rollover for Andrea Jonah.
    • Finished newsletter article on the Gaming Institute.
    • Working on PowerShell project, met with Nevil, and will be making a script to notify users when an active directory group changes. Filter the changes, 2 or more years are to be ignored and the more immediate ones are the ones to focus on.
    • Stratford rollover sent to Mark Bierley.
    • Working on a rollover for Martin Cooke.
    • Testing for Herbert in CALMS and so far, tested two features.

    • Learning PowerShell coding through Lynda.com and will be having a project meet with Nevil.
    • Wrote first newsletter article on UW Flow and wrote about how students can apply UW Flow to their everyday lives.
    • Managed the ACO Help Desk while Marco was away.
    • Rollovers for Catherine Dubeau, Geoffrey Hayes, and Jessica Thompson.
    • Working with Nevil to solve any issues with Rollovers.
  • Cynthia P.
    • In the process of condensing the Survival Guide. Ensuring all documents are in their correct categories, making sure all information is up-to-date, and taking out any information that is out dated.
    • Completed writing Professor Spotlight on Beth Coleman and waiting for her to send pictures from her novel Hello Avatar to add to the newsletter.
    • Completed writing newsletter on “Everything you need to know about solid-state drives (SSD).
    • Currently working on completing final newsletter on the “N”: drive. Received useful links and information about the “N:” drive from Kathy Winter, who’s the privacy officer on campus.
    • Working on “ACO Meeting Minutes” this week while Sherry is on vacation.
  • Keith M.
    • Accounts created on arts research for Randy Harris’ web site developer. There should be a document with guidelines on what’s expected, updates, and support for long term.
    • Sharon Dahmer is controlling fobs and needs a Hardware device that enrolls the fob. The Velocity software does not run on Windows 10. Workaround is to use a Virtual Machine (VM) with Windows 7, with the physical hardware shared with the VM.
    • Adobe CC license up for renewal.
    • Chiastic website restored from backup.
    • Identified Stratford lab systems to get Adobe Creative Cloud.
    • Printing report generated for Sociology.
    • Added smc-stephanie2113 in Stratford to Munki for Brandi Gillet
    • Failing battery on Doug Kirton’s laptop. Wasn’t the laptop but the adapter.
    • New cert for arts.uwaterloo.ca.
    • Created printing report for Sociology.
    • UPrint can set departments and users on printers. It allows you to see usage of printers for weeks and months. UPrint lets you see whether the documents being printed are single sided, double sided, or if documents were printed in colour, or black and white.
  • Herbert B.
    • Cora Cluett from Fine Arts called about a laptop purchased through professional allowance that was having motherboard issues. She went to Conestoga Mall to get it resolved. However, there was a possibility that student files could have been on the machine so it was best to come directly to the Arts Computing Office to protect the data.
    • Robert Danish from Drama was having issues with mail on his Mac desktop. He was unable to send emails because his Mac was setup with IMAP instead of Exchange. To resolve this issue, the port was changed from 25 to 587.
    • Configured MATLAB for Kate from economics and it’s now working.
    • Added Marco to the CALMS project to do testing.
    • Sherry has requested some features for CALMS to edit finance information on assets. It’s currently a pushed feature to dev and production will be pushed until she gets back to review it.
    • Meet with Will to discuss how to connect software information from IST webstore to CALMS.

    • CVE-2017-1000253 had little impact on us all primary servers run Ubuntu. One centos machine (abbot, part of cantus project which is part of margot) was patched.
    • Cogito turned off, last machine backing up to it was moved to cognito3 new backing up system.
    • Munki 3.1 released to production, resolves update catalog issue 10.13 machines (6 managed machines have updated to 10.13 thus far).
    • Juley Mulvey Office was not activating, even after being on campus for a couple of days. Running ospp.vbs /dstatus form the install folder fixed it immediately. Logs show it simply didn’t check-in while on campus or VPN. If Office is having problems activating, it may be fixed by running VPN.
    • Creating package for Adobe Creative Cloud.

    • SWORDC deepfreeze update, new door security system is being installed and fobs will have to be reset.
    • SCCM client issues on newly installed workstations.
    • Working on automating better usage statistics for labs.
  • Jameson S.
    • Continued working on Vanguard web app. Very basic functionality is now working.
    • Provided after hours’ exam support in PAS1237 for RS100.
    • [GI-IT] User Account creations.
    • [GI-IT] Updated Windows Image used for imaging computers.
    • [GI-IT] Starting to deploy some macs. Talked with Keith about creating a monki workflow for the Games Institute so they can be managed and imaged easier.

    • Air Media Sound problem update for Mac laptops, certain macs are having issues with this.
    • The back is separated from the carpet in ML 113. It’s a tripping hazard, and contacted Plant Operations to see what solutions there are to resolve this.
    • French professor wants to show her students a movie. ML 109 needs to be checked to ensure everything is working by Friday, October 13 at 1:30.
